Operations Executive (Payments & Invoicing)

About the Role
We are looking for a detail-oriented and dependableOperations Executive (Payments & Invoicing)to join our client team. You will play an important role in managing the transactional financial cycle, includingsales invoicing and outgoing payments, while working closely with our Trade Operations and Finance & Accounting teams.
This role is ideal for someone who is highly organised, comfortable working with numbers and data, and able to thrive in a fast-paced, multicultural trading environment.
Key Responsibilities
Payments & Invoicing
- Prepare and issue accurate sales invoices, recurring bills, and debit/credit notes daily through the in-house trading system.
- Raise Disbursement Instructions through the in-house trading system to facilitate outbound payments via TT remittance.
- Ensure payments and invoicing entries are completed accurately and on a timely basis.
- Manage both sides of the transactional cycle, from sales invoicing to outgoing vendor/commercial counterparty payments.
Records & Documentation
- Maintain accurate and organised digital and physical filing systems for billing documents, receipts, and credit/debit notes.
- Ensure documentation is complete and readily available to support month-end closing and audit requirements.
- Retrieve shipment files and perform e-filing where required.
Cross-Functional Coordination
- Work closely with Trade Operations Specialists and the Finance & Accounting team to clarify payment and invoicing details.
- Identify and resolve documentation or data-entry discrepancies promptly.
- Support Operations Managers with accurate system entries and data required for month-end reporting.
Additional Responsibilities & Learning Opportunities
- Support ad-hoc tasks, reports, assignments, and projects as assigned by managers or supervisors.
- Upon successful integration into the role, there may be opportunities forhands-on learning of the Letter of Credit (LC) instrument lifecycle, an important financial banking instrument used in international trading.
- Expanded responsibilities may include reviewing LC instruments and supporting LC documentation preparation for banking negotiations.
Requirements & Experience
- Entry-level candidates are welcome to apply.
- 1–2 years of relevant experiencein transactional finance, logistics operations, invoicing, payments, or a similar role will be an advantage.
- Experience intrading or logisticsis an added advantage.
- Strong attention to detail, particularly when handling financial figures and high-volume data entry.
- Comfortable working across different systems and adapting to varying data-entry processes.
