Job summary

DIRECT SEARCH ASIA PTE. LTD. in Singapore seeks a Maritime Administrative Specialist to manage port clearance related tasks, document archiving, and regulatory compliance for vessel operations.

The role includes coordinating ship-to-ship transfers, structuring vetting data, tracking notices, and arranging staff travel, with focus on safety and quality procedures in accordance with IMO, SOLAS, MARPOL and internal policies.

Qualifications

• Port clearance experience for vessels, including inward/outward clearance.
• Familiarity with MPA/Port Clearance portals and related regulations.
• Occasional boarding of vessels as required.
• Effective communication skills

Responsibilities

• Archive department documents, emails, and voyage records.
• Dispatch and track Notices to Mariners and circulars.
• Verify and process vessel and department service invoices.
• Manage the digital and physical maritime reference library.
• Maintain and update HVPQ and Q88 vetting systems.
• Monitor and keep records for enforcements of IMO, SOLAS, MARPOL, and company D&A policies.
• Coordinate Ship-to-Ship (STS) transfer logistics and staff visits.
• Monitor vessel compliance with Health, Safety, and Quality procedures.
• Record vessel casualties, operational incidents, and performance KPIs.
• Coordinate Oil Major, terminal, and internal vessel inspections.
• Assist in arranging the travels of department staffs.

• Familiarity with MPA/Port Clearance, Marinet and ICA Portals and other regulations
• To board vessel as and when required
