We are looking for an experienced HR & Office Administration Manager to oversee the full spectrum of human resources and office administration functions.
The role will be responsible for recruitment, employee relations, performance management, payroll coordination, employee benefits, HR operations, HR policies, compliance, and general office administration. The role will also manage company insurance matters, vendor coordination, office facilities, and administrative operations.
The successful candidate will work closely with management and employees to ensure effective HR practices, smooth office operations, and a positive and productive workplace environment.
Manage the full recruitment cycle, including job posting, candidate screening, interview coordination, selection, and onboarding.
Maintain and update employee records, employment contracts, personal files, and HR documentation.
Manage leave administration, attendance, and staff movement tracking.
Handle employee relations, disciplinary matters, grievances, and conflict resolution professionally and confidentially.
Lead performance management and appraisal exercises, and support managers in developing their teams.
Coordinate payroll preparation, government claims, and statutory contributions.
Oversee employee benefits and HR policies to ensure fairness, consistency, and proper implementation.
Manage employee-related insurance matters, including medical, Group Personal Accident (GPA), work injury coverage, renewals, enrolments, and claims.
Coordinate training activities and support employee development initiatives.
Handle employee enquiries relating to HR policies, benefits, procedures, and employment matters.
Organize staff engagement activities and welfare programes.
Develop and implement HR initiatives to improve employee engagement and workplace culture.
Ensure HR practices comply with applicable Singapore employment legislation and regulatory requirements.
Maintain confidentiality and integrity when handling sensitive employee and company information.
Oversee day-to-day office administration and ensure smooth office operations.
Manage office supplies, service contracts, vendors, and general office requirements.
Maintain company documents, licences, records, and filing systems in both physical and digital formats.
Oversee company-wide insurance matters, including office/property, liability, vehicle, and equipment insurance.
Liaise with insurers and brokers on policy renewals, coverage updates, and claims management.
Coordinate office facilities, maintenance, and related service providers.
Support management in preparing company letters, reports, and other administrative documentation.
Coordinate meetings, travel arrangements, and other general administrative matters.
Ensure administrative practices comply with company policies and applicable regulatory requirements.
Diploma or Bachelor's Degree in Human Resources, Business Administration, or a related discipline.
At least 4 years of relevant HR experience, preferably with supervisory or managerial experience.
Strong knowledge of Singapore employment and labour regulations.
Experience in full-spectrum HR operations, including recruitment, employee relations, performance management, payroll coordination, and HR administration.
Experience in employee insurance administration will be an advantage.
Experience with HRMS/payroll systems; InfoTech HRMS experience will be an advantage.
Proficient in Microsoft Office applications.
Strong organizational, communication, problem-solving, and interpersonal skills.
High level of integrity and ability to handle confidential information professionally.
Able to work independently, manage multiple priorities, and work effectively with employees and management.
Candidates residing in the West of Singapore will be preferred.
