Job Description
We are looking for a Finance Executive (Grants) to support research activities through effective financial administration, budgeting, and grant management. This role works closely with researchers and internal stakeholders to ensure accurate reporting, compliance, and smooth financial operations.
Key Responsibilities
Financial & Grant Budget Management
- Prepare manpower budgets and ensure accurate use of approved cost rates
- Check budget and headcount availability for project hiring requests
- Verify monthly manpower allocation with project leads
- Update SAP to ensure staff costs are charged correctly
- Track FTE, expenditure, and utilisation against approved budgets
- Review charging information and resolve any discrepancies
- Allocate bonuses and related manpower costs to projects
- Monitor grant utilisation and alert project teams of low balances
Fund Requisitions & Reporting
- Prepare timely and accurate fund requisitions and final statements of accounts
- Ensure manpower utilisation is correctly reflected in submissions
- Reconcile financial accounts and explain variances or reclassifications
- Review expenditure submissions and address common issues to support timely reimbursement
Audit Support
- Prepare documentation required for grant audits
- Respond to auditors' queries and explain financial variances
- Coordinate with auditors to resolve issues
Other Duties
- Perform additional tasks to support research finance and grant operations as assigned
Requirements
- Minimum Diploma/ Degree in Business Administration, Finance, Accounting or related field
- 1-2 years of experience in finance operations, research administration or grant management (advantageous)
- Strong communication and interpersonal skills
- Able to work independently and as part of a team
- Proficient in Microsoft Excel with strong attention to detail
- Experience in SAP is an advantage
