Job Summary
The Executive/Senior Executive, Human Resources Shared Services (HRSS) will be responsible for administering HR processes across the employee lifecycle, maintaining data integrity, and ensuring requests are resolved effectively and efficiently. The successful candidate will deliver accurate, timely and well documented HR services, support continuous improvement of HRSS processes and systems, and help build a consistent, positive employee experience across the group.
Job Responsibilities
Employee lifecycle and HR operations
- Applicant Tracking System (ATS) & Core HR Integration: Perform accurate and timely data entry within the ATS to seamlessly initiate new hire integration, trigger system workflows, and transition candidates to employees.
- Document & Compliance Management: Manage the comprehensive collection of mandatory new hire documentation and regulatory compliance.
- Stakeholder Coordination: Serve as the central point of contact for onboarding, seamlessly coordinating and communicating first-day reporting details with new hires and all relevant internal stakeholders.
- Employee Lifecycle Data Entry: Own the accurate and timely entry of all employee movements (e.g., promotions, transfers, terminations) across HR Information Systems (HRIS) to ensure absolute data hygiene.
- P-File Documentation: Establish, maintain, and systematically audit digital Personnel Files (P-Files), ensuring absolute confidentiality, data protection & privacy compliance, and total readiness for internal and external audits.
- Own the contract and re-employment renewal process end to end (e.g. reaching out to employees, managers) to ensure renewals are completed in compliance with the employment laws.
- Support the execution of employee wellbeing and engagement activities, coordinating logistics and working HR Business Partners and other stakeholders to keep employees informed and involved.
- Support the administration of statutory submissions and government-related claims, such as NS claims, maternity and childcare leave claims.
- Support government related applications, surveys e.g. manpower surveys and checks.
Workforce Compliance & Mobility
- Work Pass Monitoring & Administration: Manage the end-to-end lifecycle of work passes (applications, renewals, appeals and arranging house inspection) in strict compliance with the local Ministry of Manpower (MOM) or relevant regulatory guidelines.
- Repatriation & Exit Compliance: Manage the regulatory and legal processes of offboarding foreign employees, including timely work pass cancellations and corporate repatriation travel arrangements.
- Standard Operating Procedures (SOPs): Author, update, and maintain comprehensive SOP documentation for all core People Operations processes to ensure operational continuity, knowledge retention, and compliance across the team.
Recruitment and onboarding coordination
- Coordinate and schedule interviews using ATS and in partnership with Talent Acquisition team and hiring managers.
- Prioritise a positive candidate experience throughout the recruitment process by handling all enquiries. professionally and collaborating with the internal HR team in a prompt manner.
- Ensure that recruitment process is compliant with local legislation.
Operation Excellence and Reporting
- Drive continuous improvement of HR processes, systems, and employee journeys to enhance operational efficiency and service quality.
- Participate in and support HR process enhancement initiatives, including UAT for new system features, automation, and digitalisation projects. Contribute to cross-functional HR projects and perform other HR operational and administrative duties as assigned.
Job Requirements
- Diploma or degree in human resource management, business administration, or a related discipline.
- At least 1 to 3 years of relevant experience in HR operations, HR shared services, or HRIS.
- Working knowledge of the Singapore Employment Act and related statutory requirements.
- Prior experience with an HRIS (such as Workday) is an advantage.
- Strong attention to detail and comfort working with numerical data.
- Proficient in Microsoft Office, particularly Excel; familiarity with Power BI or similar reporting tools is an advantage.
- Clear written and verbal communication, with a service-oriented and approachable manner.
- Well organised, able to manage multiple cases and deadlines, and comfortable working within defined service level agreements.
- A continuous improvement mindset, with the initiative to flag and help resolve process gaps.
- Able to exercise discretion and maintain confidentiality when handling employee information.
