Qualifications

• Proficient in Microsoft Excel and Word; experience with Detrack or similar delivery management systems is a plus.
• Strong organisational and multi-tasking skills; able to manage multiple delivery streams simultaneously.
• Good communication skills in English
• Meticulous attention to detail in documentation and record-keeping
• Ability to work under pressure and manage priorities during peak-season operations
• Team player with a proactive, hands-on approach to problem-solving

Responsibilities

• Plan and assign daily delivery routes and run sheets for in-house drivers and external logistics providers (e.g. LLM)
• Sort, organise, and stage orders for driver handover - ensuring items are correctly grouped by route, driver, and delivery time window
• Assist in physically loading and handing over items to drivers, which may involve lifting or carrying floral arrangements, boxes, and equipment
• Coordinate same-day and advance order deliveries, ensuring on-time fulfilment across all zones
• Manage outlet delivery schedules for Cold Storage, retail partners, and walk-in collection points
• Communicate time-sensitive changes or order amendments to drivers promptly
• Conduct pre-shift briefings and issue daily run sheets, delivery manifests, and customer instructions
• Track driver attendance, overtime, and delivery performance
• Verify and process driver claims - cross-checking trip records, mileage, overtime, and allowances against run sheets and Detrack data
• Identify and follow up on discrepancies in driver claims before submission to Finance
• Prepare accurate monthly driver billing summaries for accounts processing
• Support driver recruitment coordination and onboarding administration
• Serve as the primary point of contact for external logistics partners
• Monitor third-party delivery performance and elevate issues where necessary
• Coordinate LLM driver briefings for peak-season operations
• Maintain accurate delivery records in Detrack and Business Central (BC)
• Verify that delivery task completions are correctly captured and reconciled with order postings
• Prepare operational reports, billing summaries, and delivery zone analyses
• Support large-scale operational planning for peak floral campaigns (Valentine's Day, Mother's Day, Christmas, etc.)
• Coordinate part-timer logistics support and manpower deployment during peak periods
• Assist with production floor coordination when required
