Business Mission & Events Coordinator – Job Description

Reports to: Marketing & Communications Manager (with dotted line to Senior Advocacy Manager)
Based in: Singapore

Role Summary:

We are seeking a proactive and detail-oriented Business Mission & Events Coordinator to support the EU-ASEAN Business Council’s programmes and initiatives across a range of industry sectors.

This role is central to the smooth delivery of high-profile Business Missions to ASEAN Member States and Brussels, as well as events across the region that strengthen EU–ASEAN trade relations and engagement. The successful candidate will take ownership of administrative and logistical elements, working closely with members, external vendors, and consultants. Strong organisational skills, a keen eye for detail, and the ability to manage multiple priorities under tight deadlines are essential.

Key Responsibilities:
Event Coordination
  • Source and manage venues (obtain at least three quotes, negotiate costings, oversee set-up and timings); oversee all other logistical and/or administrative elements of events.
  • Coordinate external suppliers (audio-visual, interpretation/translation, production of signage/backdrops, printing, etc.), ensuring quality and timely delivery.
  • Manage liaison with speakers and attendees, including registrations, confirmations, and participant communication.
  • Coordinate preparation of invitations, thank-you letters, biographies, briefing packs, and other event materials.
Business Missions
  • Oversee registration processes, including confirmations, collection of member questions, and delivery of reminders.
  • Source and manage external vendors (transportation, hotels, catering, interpretation, etc.), obtaining competitive quotes in each case.
  • Liaise with external consultants supporting missions and events, ensuring smooth coordination.
Communications & Marketing Support
  • Assist the Marketing & Communications Manager with updates to the Council’s website, social media platforms, and electronic direct mail (EDMs).
Qualifications and Requirements:
  • Highly organised, detail-oriented, and able to manage multiple priorities under pressure.
  • Strong written and verbal communication skills in English, with the ability to produce high-quality materials.
  • Keen interest in Southeast Asian political systems, public policy, and business environment (knowledge of ASEAN is a plus).
  • Exposure to European companies, organisations, and/or political systems desirable.
  • Bachelor’s degree (or equivalent experience) in Business Administration, Marketing, Communications, Events Management, or related field.
  • Previous internships or experience in trade, international relations, or events management will be an advantage.
  • Quick learner with the ability to absorb new information and adapt to changing priorities.
  • Flexibility to occasionally work beyond standard business hours and to travel within Southeast Asia and Europe as required.
  • Awareness of and adherence to compliance standards, including the US Foreign Corrupt Practices Act, UK Bribery Act, and other relevant legislation.
