Job summary

Toll Group is seeking a proactive Air Freight Operations Coordinator in Singapore to manage export shipments and coordinate with international networks, airlines, customers, and authorities. This role emphasizes delivering high-quality service, meeting customer requirements, and ensuring safety standards.

You will handle end-to-end air export operations, co-loading activities, space bookings, nominations, and invoicing, while maintaining compliant workflows and performance metrics.

Qualifications

• Diploma in Logistics, Supply Chain, Transportation, Business Administration, or related field.
• Experience in air freight export operations, freight forwarding, or logistics preferred.
• Familiarity with CargoWise One (CW1) or similar freight management systems is a plus.
• Strong communication and coordination skills across countries and stakeholders.
• Detail-oriented with excellent organizational and multitasking abilities.

Responsibilities

• Coordinate with overseas agents, network partners, airlines, authorities, and customers on export shipments.
• Execute end-to-end air export operations with timely shipment processing.
• Manage co-loading activities, including rate quotations and carrier coordination.
• Process space bookings with airlines and obtain spot rates when required.
• Receive and process nominations and bookings, providing flight details and updates.
• Arrange cargo collection and transportation with appointed providers.
• Create and manage export files and shipments in CW1 and prepare pre-alerts.
• Coordinate invoicing with GSS team and monitor KPIs and records.

Summary

We are seeking a proactive and detail-oriented Air Freight Operations Coordinator to manage export shipments activities while ensuring seamless coordination with international networks, airlines, customers, and relevant authorities. This role plays a critical part in delivering high-quality service, meeting customer requirements, ensuring operational excellence, and maintaining compliance with health, safety, and company standards.

Job Scope

• Coordinate and communicate with overseas agents, network partners, airlines, authorities, and customers regarding export shipments.
• Execute end-to-end air export operations, ensuring timely and accurate shipment processing.
• Manage co-loading business activities, including rate quotations and coordination with carriers.
• Process space bookings with airlines and obtain spot rates when required.
• Receive and process shipment nominations and customer bookings, providing accurate flight details and shipment updates.
• Arrange cargo collection and transportation with appointed transport providers.
• Create and manage export files and shipment execution within CargoWise One (CW1).
• Prepare and issue pre-alerts upon shipment execution.
• Process invoicing and coordinate closely with the GSS team on billing-related matters.
• Monitor and update operational KPIs and system records accurately.
• Ensure compliance with customer requirements, operational procedures, health and safety standards, and company policies.

Requirements

• Diploma in Logistics, Supply Chain, Transportation, Business Administration, or a related field.
• Experience in air freight export operations, freight forwarding, or logistics industry preferred.
• Working knowledge of CargoWise One (CW1) or similar freight management systems is an advantage.
• Good understanding of airline booking processes, export documentation, and freight forwarding operations.
• Strong communication and coordination skills with the ability to work with internal and external stakeholders across different countries.
• Detail-oriented with excellent organizational and multitasking skills.
• Customer-focused with the ability to manage priorities and meet operational deadlines.
• Proficient in Microsoft Office applications.
• Committed to maintaining compliance, operational excellence, and health & safety standards.
