Job summary

Purpose

DHI Singapore is seeking a proactive and organised Facilities & Administration Executive to oversee the day-to-day workplace operations across 5 office locations, supporting approximately 130 employees.


The Facilities & Administration Executive is responsible for the day-to-day coordination and delivery of workplace operations across DHI Singapore's office locations.


We are looking for an individual who takes ownership, identifies issues proactively and drives solutions with minimal supervision. The successful candidate will be resourceful, hands-on and committed to maintaining an organised and productive working environment that supports business operations.


Responsibilities

Facilities Management


  • Oversee the day-to-day operations of all Singapore office locations.

  • Monitor office facilities proactively, identify operational issues and coordinate timely corrective actions with relevant stakeholders.

  • Monitor office facilities and equipment to ensure operational readiness.


Office Operations


  • Manage office access arrangements, including employee/visitor access cards.

  • Coordinate the procurement and replenishment of office supplies, pantry provisions and workplace consumables.

  • Build effective vendor relationships (building management, contractors, etc), monitor service performance and drive issue resolution to ensure service standards are maintained.

  • Maintain records of office assets, equipment and inventories.


Workplace Services


  • Coordinate workplace readiness for new employees and office relocations.

  • Ensure meeting rooms, common areas and workplace facilities are maintained to a professional standard.

  • Act as a point of contact for office-related requests and facility matters.

  • Coordinate follow-up actions with vendors and building management as required.


Corporate Events & Office Activities


  • Coordinate and execute company events and office activities, ensuring smooth delivery and a positive experience for participants.

  • Manage venue bookings, catering, transportation, vendor coordination and event communications.

  • Support the delivery of company gatherings, townhalls, celebrations and retreats.


Administrative Coordination


  • Coordinate corporate hotel bookings and accommodation arrangements as required.

  • Manage visitor registrations, workplace access and meeting logistics.

  • Coordinate courier services, deliveries and mail distribution.

  • Maintain accurate records relating to facilities, vendors, assets and administrative activities


Requirements


  • Diploma or Degree in Business Administration, Facilities Management, Hospitality Management or a related discipline.

  • Minimum 3 years of experience in facilities management, workplace operations, office administration or a similar role.

  • Proactive and self-driven, with the ability to identify issues, take ownership and drive solutions with minimal supervision. Experience managing vendors, workplace services and company events is preferred.

  • Comfortable working independently while collaborating effectively with stakeholders and vendors.
