Job description

As Nordic Knots continues to expand globally, we are looking for a People Operations Specialist to help strengthen our people operations and ensure they remain reliable, high-quality, and scalable.

This is a broad, hands-on role for someone who enjoys bringing structure to the details of HR while continuously looking for smarter and more effective ways of working. You will work closely with the Head of People and play an important role in translating our people processes into a consistent employee experience across markets.

You have experience of what strong people operations look like in a growing company. You are comfortable working in an environment where every process may not yet be fully established, and you bring the judgment to question, simplify, and improve how things are done, without creating unnecessary bureaucracy.

The role

Reporting to the Head of People, you will take ownership of the administration, coordination, and follow-through that keep our people processes running smoothly. Your responsibilities will span the employee lifecycle, including HR administration, payroll coordination, systems and data, recruitment, employee relations, and international employment.

You will provide hands‑on support to employees and managers while helping strengthen compliance and develop more efficient and scalable ways of working. You will also collaborate closely with Finance, our external payroll provider, EOR partners, and other external advisors.

Key responsibilities:
  • People operations and employee lifecycle: Provide timely and professional support to employees and managers while coordinating onboarding, employment changes, offboarding, and other recurring people processes.

  • Employment law and employee relations: Support employment‑related matters and help ensure compliance with Swedish employment law, local regulations, internal policies, and agreed ways of working.

  • Payroll, compensation, and benefits: Prepare and quality‑assure monthly payroll input and maintain accurate salary and benefits data. Support the administration of pensions, insurance, benchmarking, and salary reviews in close collaboration with Finance and external providers.

  • HR systems, data, and reporting: Act as a superuser in Hailey HR, maintain accurate employee data and documentation, compile people data ahead of recurring deadlines, and contribute to system and workflow improvements.

  • International people administration: Coordinate employment administration across markets, including EOR arrangements, in collaboration with local experts and external partners.

  • Recruitment support: Contribute to global recruitment projects through coordination, candidate management, search, administration, and support during the selection process.

  • Compliance and documentation: Keep contracts, templates, process descriptions, routines, and employee guidance accurate and up to date, while supporting compliance with GDPR and internal controls.

  • Process improvement and projects: Identify recurring issues and administrative friction, drive agreed improvements, and contribute to People projects that make our operations simpler, more reliable, and more scalable.

We believe you have:
  • Broad People Operations experience: Hands‑on experience within People Operations or operational HR, ideally from a fast‑paced, growing, and international company.

  • Employee lifecycle experience: Experience coordinating key people processes, including onboarding, employment changes, offboarding, HR administration, and employee communication.

  • Swedish HR and employment law knowledge: Sound practical knowledge of Swedish employment law and experience supporting employee relations and other operational HR matters.

  • Systems and data experience: Experience working with HR systems, maintaining accurate employee data, and improving processes and workflows.

  • Relevant additional exposure: Experience coordinating payroll, supporting recruitment, or working across different markets and EOR arrangements is an advantage.

  • Education and language skills: A relevant degree, combined with fluency in Swedish and English, both written and spoken.
