Job Description
Parsons is seeking an experienced and detail-oriented Document Controller – Saudi National to support the management, organization, and control of project documentation for a large-scale infrastructure project.
The role ensures all project documents are correctly stored, retrieved, and distributed in a timely and efficient manner.
The ideal candidate will have a solid 5 years of experience in document control within construction or engineering projects, with strong command of document management systems, organizational skills, and the ability to work under pressure.
Responsibilities
- Maintain and manage project documentation using the designated document control system.
- Ensure all project-related documents (designs, contracts, reports, drawings, etc.) are registered, tracked, and archived per project requirements.
- Control document flow to/from the project team, stakeholders, and contractors, ensuring proper version control.
- Coordinate review, reception, and distribution of project documentation across teams and departments.
- Establish and implement document control processes to ensure compliance with project standards.
- Monitor document quality to ensure compliance with contract specifications and industry standards.
- Review documentation to meet quality requirements and project-specific criteria.
- Perform regular audits to ensure documents are complete, accurate, and properly stored per company procedures.
- Ensure confidentiality and security measures for sensitive project documents.
- Serve as key point of contact for document-related queries between project teams, subcontractors, and consultants.
- Coordinate with project managers, engineers, and other departments for efficient document handling.
- Facilitate meetings and communications to resolve document issues and ensure smooth flow between stakeholders.
- Maintain a comprehensive log of all incoming and outgoing project documents and correspondence.
- Prepare regular reports on document status, tracking milestones, and deadlines.
- Monitor submission timelines and provide reminders to avoid delays.
- Assist in preparation of close‑out documentation and project handover packages.
- Ensure all documents are appropriately archived in physical and digital formats, complying with internal retention policies.
- Facilitate easy retrieval of documentation for audits, reviews, or inspections.
- Maintain an up-to-date record of document storage locations and ensure systematic organization.
Required Skills
- Bachelor’s degree in Business Administration, Construction Management, or a related field (preferred).
- Minimum of 5 years of experience in document control within construction, engineering, or infrastructure projects.
- Proven experience using document control software or systems (e.g., Aconex, Procore, SharePoint).
- Familiarity with project documentation including technical drawings, contracts, specifications, and other deliverables.
- Strong understanding of document control processes and systems.
