Responsibilities
- You will oversee and manage documentation processes within our Data Center at Neom. You will be highly organized, detail-oriented, and skilled in managing a high volume of documents and records. This role is crucial for ensuring that all documentation is accurately maintained, easily accessible, and compliant with organizational and regulatory standards.
- Develop and implement document control procedures and systems to ensure efficient handling and storage of all data center documentation.
- Maintain and organize all project-related documents, including drawings, specifications, contracts, and correspondence.
- Ensure that all documents are properly classified, indexed, and stored in accordance with company policies and industry standards.
- Configure and maintain the DMS (Aconex/Procore/ACC): company/project setup, folders, permissions, roles, workflows, metadata fields, numbering schemes, review/approval steps, and distribution rules.
- Establish and maintain the project taxonomy (folder structure, document types, metadata, and conventions) aligned to contract, client standards, and ISO 19650 principles.
- Create and manage document registers, drawing logs, submittal logs, RFI logs, transmittal registers, and correspondence registers.
- Control access rights and security classifications (Confidential/Restricted/Public), including external stakeholder access and NDA-controlled areas.
- Ability to handle confidential and sensitive information with discretion.
- Maintain accurate and up-to-date records of all documentation, including revisions and updates.
- Prepare and generate reports related to document control activities, including status updates and compliance metrics.
- Ensure proper retention and archiving of documents in line with company policies and legal requirements.
- Manage incoming and outgoing documents: drawings, calculations, method statements, material submittals, RFIs, MOMs, schedules, reports, commissioning documentation, O&M manuals, as‑built records, etc.
- Ensure correct metadata (title, discipline, doc type, WBS, package, revision, status code, originator, dates) and file naming per approved standard.
Experience & Qualifications
- Bachelor’s degree in Business Administration, Information Management, Engineering, or a related field. Relevant certifications (e.g., Certified Document Controller) are a plus.
- 12+ years of experience in document control or records management, preferably in a data center or construction environment.
- Hands on admin proficiency with Aconex, Procore (Documents/Submittals/RFIs), or Autodesk Construction Cloud (ACC Docs/BIM Collaborate).
- Strong Excel/Power BI basics; comfortable with CSV imports/exports and bulk updates.
- Proven track record of managing complex documentation processes and systems.
- Detail oriented with rigorous data hygiene.
- Strong organizational and time-management skills with exceptional attention to detail.
- Proficiency in document management software and tools (e.g., SharePoint, DocuSign, etc.).
- Excellent written and verbal communication skills.
