The ideal candidate will have 2-5 years of relevant experience, strong communication skills in English, and proficiency in MS Office. Responsibilities

  • Communicate with principle offices to track order status and clarify technical specifications.

  • Coordinate with transporters and monitor shipment schedules.
  • Facilitate daily administrative and finance needs of the office.
  • Prepare calibration reports and administrative summaries.

Job description
Business Support
  • Factory Liaison: Communicate with the principle offices (Spain & Malaysia) to track order status and clarify technical specifications for made-to-order products.
  • Order Processing: Receive and process orders from sales staff, ensuring all internal documentation is accurate before transmission to principle offices.
  • Documentation: Compile and check relevant sales documents, invoices, and billing to ensure timely month-end closing and policy compliance.
  • Procurement: Raise Purchase Requisitions (PR) and Purchase Orders (PO) for departmental needs and project-related requirements.
Logistics & Project Coordination
  • Delivery Tracking: Coordinate with transporters and the logistics team to monitor shipment schedules from factory to local sites.
  • Support Project Coordination: Arrange project installations, maintenance activities, and contractor schedules for on-site installations and work.
Office Administration
  • General Admin: Facilitates the daily administrative and finance needs of the Saudi Arabia office to ensure smooth office operations.
  • Reporting: Prepare calibration reports and other administrative summaries as required.
  • Ad-hoc Tasks: Accomplish additional assignments or duties as assigned and requested by the immediate supervisor.
