We are looking for Principal Assistant – Business Management to join our company, in one of our projects located in Oeiras.

Tasks:
  • Manage business administration services and support senior managers and leadership teams;
  • Coordinate calendars, prioritize meeting requests, and manage sensitive/confidential information;
  • Ensure managers have necessary resources and information to support processes and cross-team coordination;
  • Facilitate departmental information flow, knowledge sharing, and alignment of administrative activities;
  • Create, track, and manage multi-level tasks for self and team members;
  • Manage project portals, document libraries, and project status reporting;
  • Support project delivery including scope, resources, timelines, risk & issue management, and change management;
  • Implement and monitor information and records management policies and controls;
  • Coordinate stakeholder engagement and communications, plan events/workshops, produce minutes, and track action plans;
  • Assist in resource planning and allocation, monitoring performance, and coordinating with Resource Managers;
  • Recommend remediation actions and identify risks associated with information use.
Requirements:
  • Higher vocational training with 5 years post-related experience, or secondary education with 3 years post-related experience;
  • Strong analytical, business analysis, and reporting skills, including Power BI;
  • Experience with Agile methodologies and Kanban tools;
  • Proficiency in project planning/control and resource management tools (e.g., MS Project, ServiceNow);
  • Strong interpersonal, communication, and stakeholder management skills;
  • Proven ability to build relationships with internal and external stakeholders;
  • Experience in planning, problem-solving, and resource management in complex environments;
  • Analytical and business problem-solving capabilities;
  • Strong written, verbal, and presentation skills;
  • Ability to manage confidential information and prioritize multiple tasks;
  • Ability to support effective project and stakeholder management;
