We are a property management company, established in 1983 in Carvoeiro, Algarve, specialising in holiday rentals. Our team is looking for an organised and proactive Office Administrator to support our day-to-day operations.
The Role
The Office Administrator will be responsible for ensuring smooth office operations and providing administrative support to the property management team. This role offers the opportunity to build expertise in property management and rentals, with varied daily tasks.
Key Responsibilities
- Manage day-to-day office operations, including filing systems (physical and digital)
- Handle incoming calls, emails, and correspondence from property owners, tenants, and contractors
- Schedule and coordinate property viewings, inspections, and maintenance appointments
- Process rental agreements, invoices, and maintain accurate property records
- Provide administrate support to the property management team, including reporting
- Order and manage office supplies and maintaining vendor relationships
- Assist with tenant check-ins/check-outs and key management
- Prepare monthly reports and maintaining property documentation
- Handle basic bookkeeping tasks and invoice processing
- Provide excellent customer service to property owners and tenants
- Provide additional business support as required
Required Skills & Experience
- Proven experience in an administrative role (experience in property management is an advantage)
- Fluent in Portuguese (written and spoken) - essential
- Good level of English (written and spoken) - essential
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent organizational skills with keen attention to detail
- Outstanding communication and interpersonal skills
- Ability to manage multiple tasks and prioritise in a busy environment
- Professional telephone manner and customer service orientation
- Clean driving license - essential
- Legal right to work in Portugal
Desirable
- Additional languages (German, French, Spanish or Dutch highly valued)
- Knowledge of local property regulations and rental laws
- Experience with property management systems
- Basic bookkeeping knowledge
