Job summary

Arche Consulting Sp. z o.o. in Poland is seeking an experienced Procurement Specialist to manage supplier negotiations, lead indirect spend strategies, and drive cost improvements.

You will support Req to Pay, guide Buyers, and coordinate supplier evaluations, with hybrid office attendance two days per week.

Qualifications

• Minimum 4 years in Sourcing, Procurement, or related purchasing.
• Experience in indirect procurement categories.
• Strong knowledge of supply chain processes.
• Excellent written and verbal English and German.
• Hands-on with SAP Ariba or similar tools.
• Experience in Spot Buy activities.
• Ability to lead and motivate teams.

Job description

Responsibilities

• Managing supplier communication and conducting negotiations regarding pricing, commercial terms and conditions.
• Identifying opportunities to optimize procurement processes and implementing relevant best practices and improvements.
• Recognizing and driving potential cost‑saving opportunities across sourcing activities.
• Providing second‑level support for process‑related questions and guiding Buyers and Agents in resolving operational issues.
• Overseeing the Requisition‑to‑Pay (Req to Pay) process and supporting the team in addressing process‑related challenges.
• Acting as a second level escalation point for supplier‑related matters, including resolving complex vendor issues and conflicts.
• Escalating cases involving non‑responsive or non‑cooperative suppliers to the appropriate stakeholders.
• Providing guidance on procurement procedures and appropriate actions in situations involving special requirements or instructions.
• Managing sourcing activities for direct spend, including requirements gathering, RFx management, sourcing strategy development, supplier negotiations and final award decisions within the defined authorization threshold.
• Managing quick‑turnaround quotation requests for lower‑value purchases with existing suppliers.
• Developing tender strategies, defining contract and response requirements, and identifying the appropriate supplier pool.
• Coordinating the supplier evaluation and selection process and supporting stakeholders throughout the decision‑making stage.
• Preparing and sharing supplier contracts based on the client’s agreed terms and conditions.

Requirements

• Minimum 4 years of relevant professional experience, preferably in Sourcing, Procurement or related purchasing processes.
• Practical experience in sourcing within indirect procurement categories.
• Good understanding of supply chain processes and their interdependencies.
• Strong client‑facing and stakeholder management skills.
• Well‑developed negotiation skills and experience in managing commercial discussions with suppliers.
• Hands‑on experience with e‑sourcing platforms, such as SAP Ariba or similar procurement tools.
• Previous experience in managing Spot Buy activities.
• Excellent written and verbal communication skills in English and German, including the ability to prepare research and analytical reports.
• Experience in reviewing and interpreting supplier contracts, with a solid understanding of contract structures and key contractual clauses.
• Ability to lead, support and motivate team members in achieving defined performance objectives.
• Strong analytical thinking, problem‑solving skills and a data‑driven approach to decision‑making.
