Job description

Join Civitta – an international company with 750+ colleagues across 20+ countries. We focus on management consulting, funding, and digital solutions. Originating from Central and Eastern Europe, we also deliver projects across Central Asia, the Middle East, and the United States.

Our Headquarters team supports Civitta’s daily operations across countries within HR, recruitment, marketing, finance, administration, legal, and other internal functions. If you enjoy structure, solving problems, and if you challenge “it’s not possible” as a final answer, this could be a great fit.

Take the step towards your journey with us and join us as a Senior Tender Manager.

You will:
  • Lead and oversee the end-to-end preparation of complex EU tender applications, ensuring 100% technical and administrative compliance. Lead and prepare applications for framework contracts;
  • Manage the frameworks and subsequent applications to call‑offs;
  • Manage communication within the team and with partner companies being part of the frameworks;
  • Search for in‑house and external experts according to given criteria and maintain a relationship with them;
  • Regularly monitor and analyse the list of tenders published by international donor organisations;
  • Submit tenders when requested, and respectively, maintain subscriptions to the international submission platforms;
  • Prepare and regularly update the status of tender submissions in the database/dashboard;
  • Conduct detailed market research to identify potential tenders and suitable consortium partners, and helping in closing the consortia including preparation of company portfolio;
  • Ensure strict confidentiality of all tender‑related information.
Requirements:
  • Bachelor’s degree in Business Administration, Economics, Law, or a related field;
  • 7+ years of professional experience in tender management, with a strict requirement for a proven track record in successfully managing EU‑funded tenders (e.g., DG INTPA, DG NEAR, or Horizon Europe), including application for and management of framework contracts;
  • Deep understanding of the PRAG (Procurement and Grants for European Union external actions) guidelines and/or the EU Financial Regulation;
  • Ability to manage the entire lifecycle of an EU tender, from the Expression of Interest (EoI) and shortlisting to the final technical and financial offer;
  • Exceptional ability to coordinate international consortia and manage the administrative “bureaucracy” (Legal Entity forms, Financial Identification, etc.) inherent in EU bidding;
  • Ability to work under tight deadlines and manage multiple tender processes simultaneously;
  • Proficiency in Microsoft Office Suite, particularly Word and Excel and Tender submission platforms;
  • Leadership skills to coordinate technical and financial inputs;
  • Fluency in spoken and written English.
  • Professional Growth – We support your career development, offering performance and salary reviews once a year to ensure your progress is recognised and rewarded;
  • Flexible Working Hours – Manage your workday with flexibility and the option to work from home when needed, while enjoying our city‑centre offices as a convenient, collaborative workspace;
  • Culture & Connection – From team bonding activities like Christmas parties and summer events to spontaneous celebrations, monthly breakfasts, or team lunches, we celebrate wins—big or small—together;
  • International Offsite Trips – Each year, we travel to an exciting destination to spend time with the entire Civitta team, strengthening connections and creating unforgettable memories;
  • Gifts Programme – Welcome boxes, birthday surprises, and holiday cheer ensure your special moments are always recognised;
  • Continuous Learning – From expert‑led trainings to personal development budgets, your growth is our priority;
  • Local Benefits Package – Enjoy a comprehensive benefits package to support your well‑being and professional needs.
The salary for this position ranges from 18000 PLN gross to 22000 PLN gross and depends on your previous experience and assessment during interviews.
