Job summary

Octave seeks a Senior Proposals Management Administrator to produce professional bids and proposals for revenue activities, supporting business development within corporate guidelines and customer timeframes.

Ideal candidates will have bid-management or proposal-writing experience, strong writing skills in English, and a collaborative, highly organized approach. Remote collaboration with EMIA region teams is common, with Warsaw as a key location.

Qualifications

• Bachelor’s degree or equivalent in a relevant field.
• Excellent written and verbal English; additional languages advantageous.
• Experience with bid management or proposal writing preferred.
• MS Office suite and collaboration tools (Word, Excel, PowerPoint, Teams).
• APMP Foundation or similar certification preferred.
• Experience with document libraries or proposal automation tools is a plus.

Responsibilities

• Produce professional, timely documents and proposals to company standards.
• Write new content from existing materials and edit responses with stakeholders.
• Format documents to brand guidelines with images and tables.
• Coordinate information from sales, technical presales, marketing, product, finance, legal, and delivery.
• Prepare draft responses from customer guidance; maintain templates.
• Support Proposal Manager in governance, trackers, and milestone planning.
• Ensure adherence to corporate policies for ethical business and security.
• Provide status updates on progress to bid teams and Senior Proposal Manager.
• Report activity using GoSell and other systems; maintain proposal library.
