Job summary

XTB Limited is seeking a Senior Project Manager to lead the PMO within the Product & Technology department. You will drive end-to-end projects, manage stakeholders from SME to executive levels, and own roadmaps and governance across IT and external vendors.

You will organize workflows, identify risks, lead workshops, and report statuses. This role requires fintech domain knowledge, PM certification, and strong English proficiency; remote-friendly with office in Warsaw.

Qualifications

• Minimum 5 years in IT with at least 3 years in a PM role.
• Strong technical background and fintech/domain knowledge.
• PM certification (Prince2 or PMP) required.
• Advanced proficiency in AI tools (Claude Code), JIRA, Excel, and Google Sheets.
• Understanding of SDLC and IT specializations (FE, BE, QA, BA, Arch, UX, UI, PO, SM, DevOps).
• Experience in agile product development (Scrum, Kanban) and cross-team collaboration.
• Highly developed soft skills: assertiveness, communication, conflict resolution, negotiation.
• Process-oriented mindset, independence, and ability to grasp complex domains quickly.
• English proficiency at C1 level.

Responsibilities

• Drive end-to-end projects spanning multiple IT teams and vendors.
• Create, visualize and update project roadmaps with ownership of goals.
• Set up workflows, approvals, checkpoints, and documentation standards.
• Proactively identify risks and remove blockers to delivery.
• Lead workshops and working sessions; report status to stakeholders.
• Collaborate with Product Managers, Program Managers and Team Leads.
• Use data from Jira, BI, and DB to support PMO and Tech & Product teams.
• Communicate effectively with stakeholders at all levels (SME to Corporate).
• Maintain ongoing governance and ensure successful delivery.

Who is a Senior Project Manager at XTB?

• You are a key part of the PMO (Portfolio Management Office) within the Product & Technology (IT) department.

• You drive end-to-end projects that cross multiple IT teams, non-IT departments, and external vendors.

• You manage diverse initiatives (ranging from 1-2 months to 1-2 years), proactively adapting plans to ensure successful delivery.

• You manage stakeholders at all levels (including SME, Corporate management, Consulting services, Trading, IT, and Accounting) and collaborate daily with Product Managers, Program Managers, and Team Leads.

• You create, visualize, and update project roadmaps, taking full ownership of goal decomposition and documentation.

• You organize the workflow effectively: you set up communication channels, approval processes, checkpoints, and documentation standards.

• You proactively identify key risks, manage them methodically, and swiftly remove obstacles blocking the teams from delivering.

• You lead workshops and working sessions, and you report project statuses to key stakeholders.

• You create and implement processes based on data from Jira, BI, and DB to support the PMO and the broader Tech & Product department.

Requirements

• Minimum 5 years of experience in IT, including at least 3 years as a Project Manager (or in a similar role).

• A strong technical background and solid domain knowledge of financial products / fintech.

• A project management certification (e.g., Prince2 or PMP).

• Advanced proficiency in AI tools (Claude Code), JIRA, Excel, and Google Spreadsheets.

• Solid understanding of the software development life cycle (SDLC) and various IT specializations (FE, BE, QA, BA, Arch, UX, UI, PO, SM, DevOps).

• Experience in agile product development (Scrum, Kanban) and cross-team collaboration.

• Highly developed soft skills: assertiveness, effective communication, conflict resolution, and negotiation.

• Process-oriented mindset, a high level of independence, and the ability to quickly grasp complex domain knowledge.

• English proficiency of at least C1 level.
