Job summary

Johnson & Johnson in Warsaw, Poland, is seeking a Regulatory Affairs Process & Project Coordinator to support projects, events, and team activities with structure, transparency and follow-through. You will coordinate meetings, engagements and onboarding while ensuring timely actions and clear timelines across regions.

The role requires a Bachelor’s degree with 5+ years in project coordination or regulatory operations within an international setting, and fluent English/Polish.

Qualifications

• Bachelor's degree or equivalent relevant experience.
• Minimum 5 years' experience in project coordination, project operations, business support, regulatory operations, or similar within international organization.
• Experience in a pharmaceutical, healthcare, R&D, or other regulated environment preferred.
• Proven track record of managing projects, operational processes, or events with multiple stakeholders.
• Strong knowledge of process management, documentation control, compliance requirements, governance, and stakeholder coordination.
• Experience with MS 365 applications (SharePoint/Teams).
• Fluent English and Polish with cross-country collaboration.

Responsibilities

• Own or co-own defined operational processes and local projects, including scope, planning, milestones, and tracking.
• Translate business needs into practical project plans, trackers and routines for Hub and LS teams.
• Coordinate recurring Hub and LS activities with visible priorities and risks.
• Prepare, consolidate and analyse operational data and project status updates for decisions.
• Maintain cross-functional project plans, team reports, and documentation repositories for audit readiness.
• Support onsite Hub events, workshops, leadership meetings, onboarding sessions and university engagements.
• Act as local interface toward vendors, universities, R&D and cross-functional teams ensuring timely resolution.
• Provide onboarding and pre-hire coordination for new starters and contractors.
• Manage PO and payment tracking activities and budget reconciliation inputs.
• Support budget and expense tracking in collaboration with Finance and Procurement.
• Review and improve recurring admin/operational processes with clear ownership.
• Use Microsoft 365 and GenAI to improve planning and communication.
• Provide admin support to the RA Director and PL Site Head as needed.
