Coinspaid Solutions is a fintech company with a remote-first approach, seeking an HR Administration Specialist to manage end-to-end personnel administration. The role includes preparing employment documents, maintaining personnel files, and handling ZUS-related processes for Polish employees.

The candidate will verify right-to-work for foreign hires, manage HRIS (HiBob) and payroll systems, and ensure timely visa and work-permit renewals in a fast-growing, international environment.

Qualifications

• Experience in HR administration, payroll support, or similar roles in Poland.
• Experience with employment of foreign nationals and dealing with Polish public authorities.
• Solid knowledge of Polish labor law.

Responsibilities

• Prepare employment and B2B contracts using company templates in compliance with Polish labor law.
• Verify right to work for foreign candidates by reviewing residence status.
• Maintain personnel files (digital and physical) and track visa and residence permit deadlines.
