Job summary

Paramount Pictures in Poland is seeking an HR Co-Ordinator to join the EMEA HR Operations team. You will be the first point of contact for HR queries and support onboarding, offboarding, and employee data management across Poland and the wider region.

In a fast-paced environment, you will manage tickets, maintain HR records, assist with time tracking, and help drive data quality and process improvements while ensuring compliance with local laws.

Qualifications

  • At least 1 year of experience in HR administration, operations, or coordination.
  • Strong communication skills and ability to handle sensitive information.
  • English proficiency; Polish language skills are advantageous.
  • Familiarity with HR systems databases and reporting.
  • Attention to detail and ability to work under SLA-driven environment.
  • Experience with case management tools (Salesforce, ServiceNow).
  • Knowledge of Polish and wider European employment law.

Responsibilities

  • Be the first point of contact for HR queries from employees and managers via the AskHR system.
  • Respond to requests within SLAs and escalate when needed.
  • Coordinate triage and escalation across HR functions (Payroll, Total Rewards, IT, HRBP).
  • Process data changes and job requisitions with HRBPs, Compensation, and Finance teams.
  • Contribute to data accuracy through reports and audits.
  • Maintain HR systems and records in line with processes and SLAs.
  • Support onboarding, offboarding, references, and employment changes.
  • Assist with leave, time tracking, and HR-to-Payroll month-end processing.
  • Assist with audits and data quality checks to ensure compliance.
  • Support HR policies updates for Poland and the wider EMEA region.

Sitting within the vibrant, agile-focused EMEA HR Operations function, theHR Co-Ordinator, based in Poland, is the first point of contact for HR queries and plays a key role in supporting the efficient delivery of HR services to the business and wider People team. As part of the EMEA HR Operations Team, you will provide administrative and coordination support across the full employee lifecycle to employees predominantly in Poland, as well as Hungary, Czech Republic and Germany, ensuring a smooth and positive employee experience.

Working within a busy and fast-paced environment, you will manage day-to-day HR queries through our ticketing system, ensuring requests are handled promptly and within agreed service levels. You will support core HR processes such as onboarding, offboarding, and employee changes, while maintaining accurate employee records and data across HR systems.

As part of a team going through an exciting period of change, you will help shape the ongoing improvement of HR processes by spotting opportunities to enhance efficiency and service delivery. This role offers great exposure to a wide range of HR activities and is an excellent opportunity to build a strong foundation in HR operations.

What will you do:
  • Be the first point of contact for HR queries from employees and managers across Poland and the wider EMEA region via the AskHR Salesforce ticketing system,
  • Deliver a high-quality employee experience by responding within agreed SLAs and ensure effective queries resolution or, where needed, escalating to the relevant specialist team,
  • Coordinate the triaging and escalation of HR queries across other HR functions, including Payroll, Total Rewards, IT, and HRBP teams, to ensure a seamless and consistent HR service for the business,
  • Manage data change tickets and job requisition requests in line with internal process, partnering with HRBPs, Compensation, Finance, and the HR Data Team to ensure accurate and timely processing,
  • Contribute to accurate HR data through regular reporting, data validation, and system updates, partnering with the HR Data team on regular data audits,
  • Keep HR systems (e.g., employee records, trackers, ticketing tools, local third-party systems) in line with defined processes and SLAs,
  • Support core HR lifecycle processes, including onboarding, offboarding, reference checks, and employment changes, working closely with TA Ops, HR Data, Tech, and Facilities teams,
  • Support leave, absence, and time tracking administration, as well as HR-to-Payroll month-end processing and approvals,
  • Bring together face-to-face employee sessions, such as onboarding induction,
  • Take part in scheduled audits and data quality checks to ensure compliance with statutory, data protection, and internal requirements,
  • Help keep the maintenance and communication of HR policies and procedures for Poland and the wider EMEA region in line with changes in local legislation,
  • Keep accurate and up-to-date employee records in line with data protection and company standards,
  • Support to the EMEA HR Operations Manager and wider People team, including maintaining organisational charts, headcount files, and census reports,
  • Bring ideas to process improvements by spotting insights and trends, and getting involved in continuous improvement initiatives across the team.

We are looking for people who have:
  • Great communication skills – you listen well and can clearly convey information, ideas and instructions to individuals and teams, both verbally and in writing,
  • Proficient in English (spoken and written); proficiency in Polish and/or another EMEA language such as Hungarian, Czech or German is an advantage,
  • At least 1 year of experience working in a similar HR role (e.g. HR administration, HR operations, or HR coordination),
  • Real attention to detail, accuracy and accountability,
  • Customer-service mindset with a focus on delivering a best-in-class and consistent employee experience,
  • Understanding of Polish and wider European employment law and HR operations,
  • Well organised, comfortable juggling multiple priorities and meeting deadlines in a fast-paced environment,
  • Experience using case management tools (Service Now, Salesforce), HRIS (Oracle, Success Factors) or equivalent, and Microsoft and Google applications,
  • A knack for spotting potential problems or issues, and taking the right action to resolve or exceed them,
  • Ability to work effectively as part of a team, including building relationships and contributing to a positive team dynamic.
