Job summary

Hatch in Katowice, Poland is seeking an Expeditor to ensure timely delivery of project materials and equipment in full compliance with PO requirements. You will work closely with engineering and procurement teams, manage post-award activities, and oversee material releases, packaging, and export documentation to keep projects on schedule and within budget.

The ideal candidate has 8+ years of expediting experience, strong communication skills, and familiarity with materials, fabrication

• Relevant technical qualification or trade qualification in a relevant discipline.

• Knowledge of ISO 9000 and ISO 19 standards and regulations.

Responsibilities

• Expedite project equipment, materials, and documents per the expediting plan.
• Monitor vendor schedules and proactively address delays.
• Coordinate packing lists, delivery documentation, and export paperwork.
• Issue release documents per the Project Execution Plan (PEP).
• Collaborate with logistics to arrange deliveries and ensure Incoterms compliance.
• Close out purchase orders following project procedures.

Role Overview

As an Expeditor, you’ll be an integral part of ensuring project materials and equipment are delivered on time and in full compliance with purchase order requirements. You’ll collaborate closely with engineering and procurement teams, managing all post-award activities that keep projects moving forward. From coordinating material releases and overseeing logistics to confirming vendor schedules, you’ll play a key role in maintaining momentum. This position requires exceptional organizational skills, strong communication, and a solid understanding of manufacturing processes and materials engineering. By anticipating challenges and implementing proactive solutions, you’ll help minimize risks, prevent delays, and keep projects on track - both in terms of schedule and cost.

What Will You Do

• Expedite all project equipment, materials, and documents in line with the expediting plan.
• Monitor vendor engineering and manufacturing schedules, proactively addressing potential delays.
• Ensure reporting data is complete and accurate.
• Coordinate packing lists, delivery documentation, and any export-related paperwork.
• Issue all required release documentation as per the Project Execution Plan (PEP).
• Communicate with clients, vendors, and project teams to resolve expediting issues.
• Maintain project schedules through effective coordination using iPas MP or other reporting tools.
• Work with Vendor Quality Surveillance to ensure timely inspections and manage Non-Conformity Reports efficiently.
• Collaborate with logistics to arrange deliveries according to purchase order and Incoterms requirements.
• Close out all purchase orders in compliance with project-specific procedures.

What You Bring To The Role

• Relevant technical qualification or trade qualification in relevant discipline
• Relevant 8+ years' experience as an Expeditor with a proven track record
• High degree of technical aptitude and familiarity with various materials, fabrication processes and supply items
• Ability to confirm that delivery dates of materials and supply items comply with all requirements
• Ability to attain quality, cost and schedule objectives and strong deliverable focus
• Knowledge of preservation and packaging procedures to ensure that transported materials or items are free from damage and to ensure that materials or items to be shipped are marked, packaged and preserved in accordance with all requirements
• Working knowledge of SmartPlant system (or similar) is advantageous.
• Excellent understanding of project execution, especially materials management, scheduling, procurement, contracting, pre-operational verification, commissioning methodologies and risk assessment
• Excellent communication, negotiation and interpersonal skill
• Knowledge of ISO 9000 and ISO 19
• Know and comply with all regulations and legislative requirements
