Job description

  • Be the primary point of contact for HubSpot questions and requests from users across the U.S. and approximately one dozen international offices currently; triage and resolve tickets within agreed service levels.
  • Onboard new users and run recurring training across sales, marketing and service teams (live sessions, short how-to guides, recorded walkthroughs) so data is entered the same way in every region.
  • Write and maintain SOPs and a HubSpot usage guide covering required fields, deal stages, ticket pipelines, campaign standards and naming conventions.
  • Work with sales, marketing and service leaders and regional business owners to track adoption, spot teams falling behind, and close the gaps.
  • Manage users, teams, seats, permissions, SSO and business-unit/regional access so each entity and office sees the right data; run periodic access reviews and timely deprovisioning.
  • Sales Hub: properties, pipelines, deal stages, views, quotes, sequences, templates, forecasting, and lead routing to the right sales team, branch or internal group (e.g. carrier relations, finance).
  • Marketing Hub: email campaigns, landing pages, forms, CTAs, lists and segmentation, lifecycle stages, campaign tracking and attribution reporting, domains and business units, and regional subscription and consent management in line with GDPR, CAN-SPAM, CASL and local marketing rules.
  • Service Hub: ticket pipelines and routing, SLA configuration, shared inboxes and conversations, knowledge base, customer portal and feedback surveys.
  • Build and audit workflows and automations across all three Hubs, following an agreed change-control process and using a sandbox for significant changes.
  • Own the multi-currency, multi-language and localization configuration required by a 40+ country footprint.
  • Assess HubSpot's continuous product releases for impact across regions, and govern the enablement and data scope of HubSpot's AI capabilities.
  • Track license and seat usage against budget, and keep the portal's settings, documentation and change log current.
  • Run regular data audits: deduplication, merging, domain and company association checks, and cleanup of legacy or unused properties.
  • Enforce data standards and validation rules; monitor source tracking and record ownership.
  • Own API keys, private-app credentials and marketplace/third‑party app vetting for the portal.
  • Support IT and compliance on privacy, cross‑border data handling, retention and deletion, audit evidence, and any incident involving HubSpot data.
  • Build and maintain dashboards and reports for pipeline, activity, quoting, marketing performance and service KPIs for sales, marketing, service and executive leadership.
  • Set consistent reporting standards across regions and business units; support exports to external reporting and BI tools where needed.
  • Own and troubleshoot integrations and sync between HubSpot and our operational and corporate systems, including CargoWise, Microsoft 365/Outlook, our website and our BI tooling.
  • Own execution of the HubSpot backlog. Platform strategy and roadmap direction are set with our HubSpot strategy leads and business stakeholders; you translate that into configuration, build and rollout, and you own the sequencing and delivery of the work.
  • Work with Business Systems, IT and our HubSpot implementation partner on new builds, rollouts to additional offices, and process changes such as quoting.
  • Test new HubSpot features and recommend improvements to the roadmap.
  • Maintain documentation and runbooks to a standard that allows a colleague or our implementation partner to cover the portal during absences.
Required qualifications
  • 3+ years administering HubSpot CRM at the Enterprise level in a complex, multi-team portal, with hands‑on administration of Sales Hub, Marketing Hub and Service Hub.
  • Hands‑on experience building workflows, automations, pipelines, custom properties, dashboards and reports.
  • Strong data management skills: deduplication, imports, segmentation and governance.
  • Working knowledge of GDPR and other regional marketing‑consent and data‑handling requirements.
  • Experience training end users and writing clear documentation for non‑technical audiences.
  • Ability to work independently as the sole full‑time owner of the platform, and with stakeholders across sales, marketing, service, operations and IT.
  • Comfort supporting users across multiple time zones, with reliable overlap with U.S. Eastern business hours.
  • Excellent written and verbal communication in English and Spanish.
  • Bachelor's degree or equivalent practical experience.
Preferred qualifications
  • HubSpot certifications across Sales, Marketing and Service Hubs.
  • Experience in logistics, freight forwarding, or supply chain.
  • Exposure to CargoWise or another TMS/ERP, and to API or middleware integrations with HubSpot.
  • Experience supporting a multi‑entity or multi‑country HubSpot portal (business units, regional teams, multiple currencies).
  • SQL or light scripting for reporting and data cleanup.
  • Additional language skills beyond English and Spanish.
