Job summary

Indus Hospital is seeking an experienced Fleet Manager to oversee day-to-day fleet operations for MGQBMH, including ambulances, owned and rental vehicles, and motorcycles. The role requires supervising drivers, ensuring vehicle readiness, and coordinating with workshops for timely maintenance.

The position involves maintaining logs, planning deployments, and enforcing safety policies while ensuring compliant use of vehicles for official duties.

Qualifications

• Minimum 3 years of experience in fleet operations or related logistics roles.

Responsibilities

• Manage and supervise the day-to-day fleet operations of MGQBMH, including ambulances, owned vehicles, rental vehicles, and motorcycles.
• Prepare and monitor vehicle deployment, duty rosters, movement plans, and vehicle assignments according to approved operational requirements.
• Ensure ambulances remain available, clean, safe, properly equipped, and ready for emergency and patient transportation.
• Supervise drivers and riders, including attendance, punctuality, duty assignments, conduct, performance, and compliance with IHHN policies.
• Ensure all drivers/riders possess valid and appropriate driving licenses and follow safe and defensive driving practices.
• Maintain vehicle-wise logbooks, mileage records, movement registers, fuel records, maintenance history, and other fleet documentation.
• Develop and monitor preventive maintenance schedules and ensure timely servicing, repairs, tyre replacement, battery replacement, and other maintenance requirements.
• Conduct regular vehicle inspections and immediately report unsafe, defective, or unserviceable vehicles for corrective action. Coordinate with approved workshops and vendors for maintenance, repairs, breakdown response, replacement vehicles, and other fleet-related services.
• Monitor fuel consumption, mileage, fuel cards/issuance, and vehicle-wise utilization; identify and report abnormal consumption or discrepancies.
• Maintain complete documentation of vehicle registration, insurance, fitness certificates, permits where applicable, maintenance, accidents/incidents, and rental agreements.
• Monitor rental vehicles against approved requirements and agreements and coordinate with vendors regarding availability, condition, replacement, and service issues.
• Ensure proper custody and availability of vehicle keys, spare tyres, tools, first-aid kits, fire extinguishers, and other assigned vehicle accessories. Ensure compliance with IHHN policies, applicable traffic/transport regulations, road safety requirements, and approved vehicle-use procedures.
• Immediately report accidents, security incidents, major breakdowns, unauthorized vehicle use, or other critical fleet-related matters to the concerned management.
• Prepare periodic fleet reports covering vehicle availability, utilization, fuel consumption, maintenance, downtime, accidents/incidents, and rental vehicle performance. Coordinate with Administration, Finance, PSM/Procurement, HR, Security, and other relevant departments for fleet-related requirements and issue resolution.
• Ensure vehicles are used only for authorized official purposes and take appropriate action on misuse or policy violations.
• Undertake any additional fleet-related tasks assigned by the immediate supervisor or as determined by management.
