Job Description: The role of an Assistant Manager Accounts in a restaurant business focuses on daily financial control, food cost oversight, revenue reconciliation, and support for the Accounts/Finance Manager. This position is critical for maintaining accurate financial records across sales channels, managing supplier/vendor payables, inventory costing, and ensuring tight internal cash and banking controls for restaurant operations.

Core Responsibilities

• Assist in the timely and accurate completion of month-end and year-end accounting processes tailored to restaurant sales and operating cycles.
• Maintain and review the general ledger, perform regular account reconciliations (bank accounts, petty cash, POS/card receipts, aggregators like Foodpanda, etc.), and ensure proper cost center allocation across kitchen, service, and administrative functions.
• Prepare preliminary draft financial statements, including income statements (P&L showing Prime Cost, Food & Beverage Cost %, Labor Cost %), balance sheets, and cash flow forecasts.
• Assist the Accounts Manager in building operational budgets and analyzing daily/weekly cost variances against target Cost of Goods Sold (COGS) and labor percentages.
• Prepare required financial schedules, invoices, and tax documentation for internal and external audits.
• Review, code, and process invoices for raw materials, perishable goods, dry store inventory, equipment maintenance, and utility bills.
• Reconcile Goods Received Notes (GRNs) with purchase orders (POs) and vendor invoices to verify price consistency and quantities received.
• Track weekly/monthly raw material inventory counts, calculate theoretical vs. actual usage, and record inventory waste, spoilage, and shrinkage.
• Maintain up-to-date vendor accounts, manage payment schedules, and negotiate credit terms where applicable.
• Reconcile daily Point of Sale (POS) sales reports against cash register balances, credit/debit card merchant receipts, and bank deposits.
• Manage receivables and commission reconciliations for third-party food delivery platforms (e.g., Foodpanda, delivery apps) and direct delivery payments.
• Manage invoicing, advance deposits, and collection follow-ups for corporate catering, private events, or bulk orders.
• Oversee restaurant floor and kitchen petty cash floats, ensuring strict receipt verification for daily emergency local purchases.
• Maintain the fixed asset register for kitchen machinery, refrigeration, furniture, fixtures, and POS hardware, including calculating depreciation.
• Handle provincial sales tax on services (e.g., PRA sales tax on restaurant services), Income Tax withholding/deductions, and statutory filings for vendor and payroll disbursements.
