ROLE SUMMARY:
The Administration & Finance Officer plays a critical dual role within the organization, providing comprehensive financial management and administrative support to ensure smooth day-to-day operations. This position is responsible for maintaining accurate financial records, coordinating administrative functions, and contributing to the organization’s operational efficiency and compliance.
KEY RESPONSIBILITIES
- Maintain accurate books of accounts including general ledger, accounts payable, and accounts receivable
- Prepare monthly, quarterly, and annual financial reports and statements
- Manage budgeting, forecasting, and variance analysis processes
- Process payroll, staff expense claims, and vendor invoices in a timely manner
- Ensure compliance with tax regulations, statutory filings, and internal financial controls
- Liaise with external auditors, banks, and regulatory bodies as required
- Monitor cash flow and maintain accurate treasury records
Administration & Office Management
- Oversee day-to-day office operations, supplies procurement, and facilities management
- Maintain and manage organizational records, filing systems, and documentation
- Coordinate meetings, travel arrangements, and correspondence for senior management
- Draft, review, and distribute internal communications, reports, and memos
- Manage contracts, vendor relationships, and service agreements
- Support HR administrative functions including onboarding and personnel file maintenance
- Ensure compliance with company policies and procedures across all administrative activities
QUALIFICATIONS & EDUCATION
- Bachelor's degree in Finance, Accounting, Business Administration, or a related field (required)
- Professional certification (CPA, ACCA, CMA, or equivalent) is an added advantage
- Minimum 2–4 years of relevant experience in a finance and/or administrative role
- Prior experience in a private sector company is preferred
SKILLS & COMPETENCIES
Technical Skills
- Proficiency in accounting software such as QuickBooks, SAP, Sage, or similar ERP systems
- Strong command of Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
- Sound knowledge of bookkeeping principles, GAAP/IFRS standards, and financial reporting
- Familiarity with procurement processes and contract management

- Strong organizational and time-management skills with ability to prioritize competing tasks
- Excellent written and verbal communication skills

WORKING CONDITIONS
- Standard office hours, Monday to Friday (flexibility may be required during reporting periods)
- Occasional overtime during audits, budget cycles, or end-of-year financial close
- Office-based role with possible travel for banking or regulatory purposes
