About The Role
ACS SYNERGY is seeking an Accounts & Administration Assistant to join its Lahore office and support the firm's day-to-day internal accounting and office administration activities. This is a varied role combining approximately equal responsibilities across accounts and financial administration and general office administration and coordination. The successful candidate will maintain the firm's routine accounting records, process invoices and expenses, manage petty cash, coordinate with vendors and service providers, support the upkeep of office facilities and IT equipment, and help ensure the smooth day-to-day functioning of the office. The position is suited to an organised, dependable, and service-oriented individual with a basic accounting background who is comfortable handling a range of responsibilities within a professional office environment.
Key Responsibilities
Accounts & Financial Administration
- Maintain the firm's day-to-day accounting records in QuickBooks Online, ensuring transactions are recorded accurately and supported by appropriate documentation.
- Prepare and issue periodic client invoices and maintain related records.
- Record vendor bills, operating expenses, receipts, payments, and other routine accounting transactions.
- Maintain accounts payable records and coordinate approved payments to vendors and service providers.
- Monitor accounts receivable balances and assist with routine follow-up of outstanding invoices where required.
- Perform bank and other routine account reconciliations and follow up on reconciling items.
- Manage petty cash, including custody of cash, approved disbursements, supporting documentation, and periodic reconciliation.
- Maintain organised electronic and physical records of invoices, receipts, payment documents, and other accounting information.
- Assist the firm's accounting and management teams with routine schedules, information, and documentation required for periodic accounting and administrative purposes.
- Support other routine internal accounting activities as required.
Office Administration & Facilities Coordination
- Assist the Administration Manager/Director with the day-to-day administration and coordination of the Lahore office.
- Coordinate with landlords, utility providers, maintenance contractors, office suppliers, and other vendors regarding routine office requirements.
- Obtain quotations and coordinate approved purchases, repairs, maintenance, and other services.
- Maintain appropriate vendor records and follow up on outstanding service or maintenance matters.
- Monitor office supplies, stationery, and other consumables and arrange replenishment as required.
- Help maintain an organised, functional, and professional office environment.
- Maintain basic records of office equipment and company assets and assist with their custody, movement, repair, and maintenance.
- Coordinate routine office arrangements, deliveries, correspondence, and other administrative requirements.
IT Equipment & Support Coordination
- Act as the office coordination point for routine IT equipment and technology support requirements.
- Liaise with the firm's external/internal IT support team regarding computers, printers, network equipment, internet connectivity, software access, and other routine technology issues.
- Assist the IT team in coordinating access to equipment and employees when troubleshooting, maintenance, upgrades, or repairs are required.
- Follow up on reported IT issues to ensure they are addressed and appropriately closed.
- Coordinate the repair, replacement, issuance, and return of IT equipment in consultation with management and the IT team.
- Maintain basic administrative records relating to IT equipment and other technology assets.
Front Office & General Coordination
- Act as a first point of contact for visitors to the Lahore office and ensure they are received and directed professionally.
- Handle routine incoming calls, deliveries, correspondence, and enquiries and direct them to the appropriate team member.
- Assist with meeting arrangements and other routine office coordination when required.
- Provide general administrative assistance to management and other team members where reasonably required for the smooth functioning of the office.
Candidate Profile
- Bachelor's degree in Commerce (B.Com), Accounting, Finance, Business Administration, or a related discipline.
- Approximately 1–3 years of relevant experience in accounts, office administration, or a combined accounts and administrative role.
- Basic practical understanding of accounting processes, including invoicing, recording expenses and vendor bills, accounts payable, accounts receivable, bank reconciliations, and petty cash.
- Experience using QuickBooks Online would be strongly preferred; experience with another recognised accounting system may also be considered.
- Good working knowledge of Microsoft Excel, Word, Outlook, and routine office applications.
- Comfortable coordinating with vendors, maintenance providers, IT support teams, and other external service providers.
- Basic familiarity with computers and office technology, with the ability to understand routine IT issues sufficiently to coordinate effectively with technical support personnel.
- Strong organisational and follow-up skills, with the ability to manage several routine responsibilities simultaneously.
- Good attention to detail and accuracy, particularly when handling financial transactions, cash, and documentation.
- Trustworthy, responsible, and dependable, with the maturity required to handle cash, financial information, company assets, and confidential information.
- Good written and verbal communication skills in English and Urdu.
- Professional and courteous when dealing with colleagues, vendors, clients, and visitors.
- A proactive and service-oriented attitude, with a willingness to take ownership of routine issues and follow them through to resolution.
