Our client is seeking an experienced Real Estate Project Operations Manager for a growing commercial real estate asset management firm that combines property operations with programming and local partnerships.
The initial focus is launching and operating a commercial property with event space, coworking, dedicated offices, and a creator studio. You will help establish the project management office, manage memberships, and coordinate ongoing operations. You will work closely with executives and other team members as the firm grows and takes on additional properties.

Build the project management office. Work with the operations executive to establish project intake, prioritization, reporting, and follow-up. Build ClickUp plans with clear scope, owners, milestones, budgets, dependencies, and completion criteria. Maintain risk and decision logs and elevate conflicts before deadlines slip.
Lead project coordination across the team. Translate executive priorities into project plans and coordinate delivery with executive assistants, property staff, program leads, and other team members. Coordinate weekend team preparation for the coming week, confirming priorities, deadlines, owners, and handoffs.
Coordinate launch readiness. Manage the work required to open and operate the event space, coworking, dedicated offices, and creator studio. Connect facilities work, technology, staffing, booking processes, and member onboarding in one launch plan. Confirm readiness with the people responsible for delivery.
Manage memberships and tenant coordination. Maintain inquiry and membership records, coordinate tours and onboarding with on-site staff, and manage reservations, access requests, renewals, and offboarding. Keep members informed, follow up on service requests, and coordinate billing questions and payment follow-up with the finance team.
Manage daily operations. Coordinate vendors, quotes, work orders, maintenance schedules, invoices, and renewals. Keep service records current and confirm completion with on-site contacts. Route spending, contracts, pricing exceptions, and other commitments to the appropriate partner for approval.
Coordinate programming and events. Maintain a shared calendar and organize booking details, materials, vendor logistics, and communications with program leads. Assign on-site responsibilities and use preparation and closeout checklists for events, workshops, and studio bookings.
Report progress and performance. Prepare concise weekly updates covering milestones, blockers, decisions needed, and operating measures. Track memberships, office occupancy, space bookings, service issues, and spending against approved budgets using verified records. Keep prospective interest separate from confirmed commitments and collected revenue.
Build systems that can scale. Document procedures, handoffs, and reusable templates for future properties. Keep HubSpot activity connected to ClickUp work. Use Zapier, ChatGPT, and Claude to improve recurring workflows, check outputs, and monitor failures. Support adoption of the firm’s operating platform as the business grows.
Prepare clear communications. Create partner updates, presentations, one-page materials, and event collateral that follow brand guidelines. Keep shared files organized so staff can find current information and work confidently.
More than 10 years of professional experience in project management and operations, with direct responsibility for delivering multiple projects across competing deadlines and stakeholders.
Experience in commercial real estate operations, property management, or asset management, including coordinating projects with tenants, vendors, or property teams.
Demonstrated ability to build project plans from incomplete information, manage dependencies and scope changes, track budgets, and hold owners accountable through completion. Experience establishing a project management office or comparable operating system is strongly relevant.
Advanced ClickUp skills, including plans, dashboards, templates, and automations; practical proficiency in Google Workspace, Slack, HubSpot, and Zapier.
Hands-on experience building and troubleshooting workflows and using ChatGPT and Claude responsibly for planning, communications, and reporting.
Strong graphic design and document preparation skills, including layout, visual hierarchy, and brand consistency.
Excellent written and spoken English, sound judgment, and confidence communicating with partners, vendors, members, tenants, and program teams. Ability to resolve routine issues and identify decisions requiring leadership.
Strong documentation habits, discretion with confidential information, and availability for the agreed weekday and weekend coverage.
