Armada Brands is a multi-entity consumer brands group operating in the Philippines, with a head office in Makati and a distribution warehouse in Pasig. As the business has grown across entities and sites, tax has moved from being one of many finance tasks to a function that needs its own owner.
We are hiring a Tax Specialist to take that ownership. This is a hands‑on role for someone who has already lived through Philippine tax compliance end‑to‑end and now wants scope beyond routine filing: cleaning up historical exposures, shaping how the group manages tax going forward, and leading the transition to electronic invoicing.
You will be the group’s in‑house authority on tax. Roughly 60–70% of your time goes to tax and regulatory compliance; the remaining 30–40% goes to broader finance work and improvement projects, so the role stays connected to how the business runs.
Role
Tax Compliance and Reporting
- Own the end‑to‑end BIR compliance calendar for all group entities — preparation, review, filing, and payment of VAT, expanded and final withholding tax, withholding tax on compensation, income tax, and other applicable tax returns.
- Manage compliance across two separate reporting units — the Makati head office and the Pasig warehouse — each registered with its own Revenue District Office, including branch registrations, Certificates of Registration, books of accounts, and invoice and receipt authorities.
- Prepare and reconcile supporting schedules and attachments: summary lists of sales and purchases, quarterly alphalists, SAWT, annual alphalists, and the reconciliation of creditable withholding tax certificates to the books.
- Reconcile tax returns to the general ledger every period and clear differences before they become exposures.
- Maintain complete, audit‑ready tax documentation and a filing history that can be handed to an examiner without a scramble.
Tax Planning and Exposure Management
- Assess and quantify the group’s current and prior‑year tax exposures, and recommend the sequence and approach for resolving them.
- Lead an internal tax audit — a structured self‑review of prior‑year positions — to identify gaps, size the risk, and close them on our own terms rather than during a BIR examination.
- Identify and evaluate legitimate tax‑efficiency opportunities across entities, including input VAT recovery, availment of applicable incentives and treaty relief, and improvements to how transactions are structured and documented.
- Advise the business on the tax consequences of commercial decisions: new suppliers, new channels, intercompany arrangements, and new sites.
- Track changes in Philippine tax law and BIR issuances, and translate them into concrete actions for the group.
Tax Assessments and Regulatory Dealings
- Act as a point of contact for BIR examinations and assessments — handling Letters of Authority, document requests, notices of discrepancy, and preliminary and final assessment notices, and preparing the group’s written positions and reconciliations.
- Coordinate with external tax counsel and auditors, and manage the information needed.
- Support non‑tax statutory compliance where it intersects with finance — SEC filings, local government business permits and local business taxes, and entity registrations.
E‑Invoicing Implementation (Project Ownership)
- Serve as project manager for the group’s adoption of electronic invoicing and receipting, from readiness assessment through to steady‑state operation.
- Map current invoicing and receipting processes across both reporting units, identify what has to change, and define the target state.
- Coordinate the parties involved — finance, operations, IT, system vendors, and the BIR — and keep the timeline, decisions, and open items visible to management.
- Handle the compliance side of the transition: system registration and certification requirements, data transmission validation, and the documentation the BIR expects.
- Train affected teams and write the operating procedures that keep the new process running after go‑live.
Finance Operations and Improvement Projects
- Support month‑end close through tax‑related journal entries, accruals, and account reconciliations.
- Contribute to statutory audits and the preparation of audited financial statements.
- Lead or contribute to finance improvement projects — process documentation, controls, reporting, and the automation of recurring compliance work.
- Guide and review the work of finance interns and junior staff supporting compliance tasks.
Background
Required
- Bachelor’s degree in Accountancy, Accounting Technology, or a closely related field.
- At least four years (or equivalent experience) of hands‑on Philippine tax experience, gained in a tax practice, an audit firm’s tax group, or an in‑house tax or finance function.
- Working command of the National Internal Revenue Code and current BIR regulations, particularly VAT, withholding taxes, and corporate income tax.
- Practical proficiency with eFPS, eBIRForms, and the BIR’s data‑entry and validation modules for alphalists and summary lists.
- Direct experience preparing responses to BIR assessments and supporting examinations.
- Strong Excel or Google Sheets skills — reconciliations, lookups, pivot tables, and large data sets.
- The ability to tell management what the risk actually is, including when the answer is unwelcome, and to propose a defensible position rather than only flagging a problem.
Preferred
- Certified Public Accountant (CPA).
- Experience with multi‑entity or group structures, and with entities registered under more than one Revenue District Office.
- Exposure to retail, distribution, FMCG, or consumer brands — particularly inventory‑heavy operations with warehouse and multi‑channel sales.
- Prior involvement in a system implementation or a compliance‑driven project, in any project management capacity.
- Familiarity with electronic invoicing requirements and the BIR’s electronic invoicing and receipting framework.
- Experience with accounting systems and with automation or scripting tools used to reduce manual compliance work.
