Full-time, on-site role requiring strong English, exceptional organisation, and proactive communication. Experience in advertising admin or accounting is a plus, with a passion for AI and new technologies.

Qualifikationen

• Proficient in Microsoft Office and related software.
• Excellent written and verbal English communication.
• Strong organisational and time management skills.
• Clear, proactive communication with studio leads, account management, and finance.
• Experience in accounting/administration within an advertising agency is a plus.
• Passion for and curiosity about AI and new technologies.
• Ability to learn and adapt to AI tools when needed.

Aufgaben

• Own creation of mandatory reports ensuring accuracy, timeliness and version control.
• Maintain monthly time/credit-tracking system with Clients and reconcile credits.
• Aggregate and validate data from timesheets and project trackers; prepare executive-ready reports and dashboards.
• Build templates, trackers and dashboards to automate reporting.
• Coordinate resource plans, scheduling with Recruitment, and provide headcount forecasts.
• Manage onboarding logistics for new hires and contractors; ensure timesheet compliance.
• Prepare client invoices and supporting documentation; align with POs and project records.
• Coordinate supplier payments and co-working space arrangements; support visa and travel logistics.
