Job description
Real estate and financial analysis
(Approximately 35% of your time — the largest and most valuable part of this role.)
Our clients are business owners and entrepreneurs, and real estate appears on most of their balance sheets.
- Schedule of Real Estate Owned (SREO) builds from raw source documents — leases, mortgage statements, tax returns, closing statements
- Property-level cash flow analysis: NOI, cap rate, cash-on-cash return, debt service coverage
- Investment real estate depreciation schedules
- Home affordability analysis
- Mortgage, liability, and margin analysis
- Annuity analysis
- Health insurance comparison analysis
- Ad hoc financial modeling in Excel and Google Sheets
All output is delivered in firm templates and saved to the correct client folder under our documented naming convention.
Client file integrity and naming conventions
(Approximately 30% of your time.)
We maintain a documented Google Drive structure and a detailed naming standard. You are the owner of adherence to it.
- Audit and reorganize client folders against the written convention
- Classify and rename estate planning documents against our mapping standard — recognizing, for example, that Declaration of Trust, Living Trust, Revocable Trust, and Trust Agreement all file to the same standardlabel, and applying the same logic across deeds, powers of attorney, HIPAA authorizations, wills, and assignment letters
- Download and file documents from ShareFile to the correct client folder with correct naming
- File tax documents, 1099s, financial statements, and supporting documents to the annual folder structure
- Maintain the tax document tracker and chase missing documents from clients by email
- Upload tax returns to Holistiplan or our tax projection software, confirm each upload parsed correctly, and flag anything that failed or looks wrong
- Email the completed upload summary to the Lead Advisor and the tax preparer so they can review the output and send it on to the client — you close the loop by confirming it went out
System setup and data entry
(Approximately 15% of your time.)
- Black Diamond client setup — configure Billing Accounts, Review Accounts, Trading Accounts, Display Name, and Relationship Name against our naming standard, and verify data feeds populate correctly
- Send the client portal invitation email from the firm template
- Asset naming to firm standard across bank, investment, retirement, company retirement, real estate, liability, and insurance records
- RightCapital data entry and plan maintenance
- Wealthbox CRM hygiene — task creation, notes, workflow steps
Meeting preparation and follow-through support
(Approximately 10% of your time)
All output in this section is reviewed by a U.S. planner before it reaches a client.
- Attend client meetings to learn — you are there to understand the client, the plan, and what was committed to. The Lead Advisor runs the meeting; you own everything that follows it.
- Assemble meeting prep materials — prior recommendations, prior year notes, current reports
- Transfer Fireflies meeting transcripts into Wealthbox and extract follow-up items
- Draft follow-up emails and client to-do lists for planner review
- Estate plan summaries and estate planning flowcharts from firm templates
- Track open client items through to closure
Efficiency, automation, and documentation
(Approximately 10% of your time)
A real part of the role, not an afterthought. We intend to stay small and still grow, and thoughtful use of technology is how that works. We expect you to make your own job faster every quarter, and to leave behind a written record of how the work is done.
- Use Claude fluently every day — extracting lease and mortgage terms into structured tables, summarizing trust documents, reading tax returns for the data you need, and drafting from our templates
- Build prompt libraries and reusable templates the whole team can use, rather than personal shortcutsIdentify the repetitive, low-judgment parts of your week and automate them — document requests, file naming and routing, data extraction, status tracking
- Write and maintain the Standard Operating Procedures for your role in Wealthbox — every recurring process documented, owned, and kept current
- Build Wealthbox workflows for the processes you initiate
- Work within our compliance boundaries: no client PII goes into consumer AI tools, and anything touching client communication stays under human review
Qualifications and requirements
- Bachelor's degree in finance, accounting, economics, or a related field
- Five or more years supporting U.S.-based financial services, wealth management, accounting, or real estate firms
- Advanced Excel and Google Sheets — pivot tables, lookups, and multi-sheet models built from raw documents. This is the most important technical requirement.
- Demonstrated real estate financial analysis experience — rent rolls, NOI, cap rate, debt service coverage, or comparable property-level modeling
- Strong spoken and written English. You will sit in client meetings, speak with our U.S. team daily, and write to clients. You need to follow a fast-moving conversation, understand what was asked and by when, and confirm deadlines clearly.
- Google Workspace proficiency, including disciplined use of an established folder structure and naming convention
- Demonstrated fluency with Claude or ChatGPT in professional work — not casual familiarity. You should be able to describe specific processes you have put into practice and what they saved you.
- A track record of building automations or documented processes that outlasted you — SOPs, workflows, templates, or tooling someone else still uses
- The ability to work independently across a time zone gap, with the judgment to elevate rather than guess
Preferred
- Experience with Black Diamond, RightCapital, eMoney, MoneyGuidePro, Wealthbox, Schwab Advisor Center,Holistiplan, or ShareFile
- Exposure to U.S. estate planning documents
- U.S. tax document familiarity — 1099s, K-1s, Schedule E
- CFP® coursework, FPQP, or equivalent study
What Predicts Success
Pattern discipline. Most of this work is applying a written standard consistently across hundreds of files. We are looking for someone who follows the convention precisely rather than inventing a faster one.
Escalation instinct. If you notice something wrong in a client's documents, we want to hear about it immediately. If an instruction is ambiguous, we would rather you ask than guess. This matters more to us than any single technical skill.
