Job summary

OutForce is looking for a senior bookkeeper to manage AP/AR end-to-end in Xero and oversee month-end close. You’ll operate on UK hours, support VAT/MTD, reconciliations, and multi-currency activity.

The role is fully remote with a focus on UK and international partners. You’ll work across Xero, ERP systems, and ecommerce platforms, ensuring accurate financial records, timely payments, and compliant reporting.

Qualifications

• Has owned AP and AR end to end in Xero.
• 5+ years in bookkeeping or accounting, with at least 2 years supporting UK businesses.
• UK VAT and Making Tax Digital experience.
• Has run a month-end close independently.
• Strong Excel or Sheets skills: lookups, pivots, reconciliations.
• Works independently on UK hours, with clear written English.

Responsibilities

• Run the accounts inbox: supplier invoices, statements, remittances and internal queries.
• Own AP within Xero: code and process supplier invoices for approval.
• Prepare weekly or fortnightly supplier payment runs for release by an authorised reviewer.
• Reconcile supplier statements, including manufacturers and freight or duty charges.
• Check claim refunds and credit notes.
• Own AR within Xero and ERP, including wholesale invoices to stockists.
• Post sales and invoice uploads for A2X, ShopifyUSD, eBay, Global-e and John Lewis.
• Chase overdue wholesale accounts and keep the aged debtors list current.
• Reconcile marketplace remittances and deductions from partners.
• Reconcile bank accounts and card statements daily/weekly; manage multi-currency FX.
• Run month-end close: accruals, prepayments, balance sheet reconciliations.
• Prepare monthly management packs and VAT returns under MTD.
• Maintain Xero controls, processes, and playbooks.

Role Overview:

Own the day-to-day financeoperation: AP, AR, the accounts inbox, channel postings and reconciliations in Xero, through to month-end, management accounts and VAT. The role prepares andprocesses. Payment release, statutory filings including VAT returns, andanything above delegated limits stay with an authorised reviewer.

What We’re Looking For:

Systems:

Xero; ERP (Zedonk, NetSuite, SAP or similar); A2X,Shopify, eBay, Global-e, John Lewis and NuORDER; payment providers, receiptcapture, Excel or Google Sheets; company bank accounts (access levels TBC).

Must have

• Has owned AP and AR end to end in Xero
• 5+ years in bookkeeping or accounting, with atleast 2 years supporting UK businesses
• UK VAT and Making Tax Digital experience
• Has run a month-end close independently
• Strong Excel or Sheets skills: lookups, pivots,reconciliations
• Works independently on UK hours, with clearwritten English

Nice to have

• Implementing and working with AI tools in a finance workflow
• ERP experience, ideally Zedonk
• A2X or similar ecommerce-to-Xero connector experience
• Retail, ecommerce or fashion experience withstock and multiple sales channels
• Multi-currency and marketplace reconciliation
• Qualification such as AAT Level 4,part-qualified ACCA or CIMA, or Philippine CPA
• Xero Advisor certification

• Chase overdue wholesale accounts and keep theaged debtors list current
• Reconcile marketplace remittances and deductionsfrom partners

Cash, cards andreconciliations

• Reconcile bank accounts and card statementsdaily or weekly
• Reconcile payouts from Shopify, PayPal, Klarnaand other payment providers for the UK and US sites
• Produce the USD payout report, and the eBay andHA reconciliations
• Company cards: record cardholder and businesspurpose for every transaction, collect receipts and reconcile in Xero
• Handle multi-currency transactions and FXdifferences, including USD
• Keep stock movements in ERP and the stock andcost of sales figures in Xero in agreement

Month-end andreporting

• Run the month-end close: accruals, prepayments,balance sheet reconciliations
• Maintain the fixed-asset register
• Prepare the monthly management accounts pack forreview
• Prepare monthly and quarterly royalty reportsfor review
• Provide channel-level sales and margin data forUK, US, wholesale and marketplaces

VAT and compliance

• Prepare quarterly VAT returns under Making TaxDigital, for review and filing by an authorised reviewer
• Handle import VAT and duty correctly, includingpostponed VAT accounting
• Prepare year-end schedules and support theexternal accountants
• Payroll support: payroll runs through anexternal provider and the Financial Controller loads monthly changes; whetherthis role supports it is TBC

Systems

• Implement and work with AI tools for AP and AR
• Maintain Xero bank rules, receipt capture andapproval workflows
• Document the finance processes and playbooks
