White & Case Manila is seeking a Senior Billing Coordinator to support the firm’s billing cycle, including preparing, editing and finalizing client invoices in Elite 3E and coordinating with partners and staff. The role also involves producing WIP, AR and Timekeeper Utilization reports and maintaining accurate billing records.
The position requires a Bachelor’s degree in Business, strong communication and stakeholder management, and proficiency in MS Office.
This will support the firm’s billing cycle by preparing, editing, and finalizing bills with coordination with the Partners and other legal staff, Practice Assistants, Inventory Managers and Revenue Controllers, Finance Managers, and other employees. The Senior Coordinator, Billing is also responsible for preparing standard reports for Work in Progress (WIP), Accounts Receivables (AR), and Timekeeper Utilization.
This role will provide general support for Billing operations, including Key Clients, Specific Office, or Specific Section, among others:
Generate, edit and finalize client invoices in Elite 3E in line with global agreements, Firm policies and tax or statutory requirements
Prepare, submit and monitor electronic bills via eBilling Hub, ensuring accurate upload and timely resolution of any billing issues
Compile, review and reconcile billing back-ups and supporting documents, researching 3E records to correct invoices and personal disbursement issues
Produce standard billing reports (WIP, AR and Timekeeper Utilization) and support basic analysis for partners and other stakeholders
Maintain accurate client, matter, phase, task and activity data in the billing system as requested by authorized parties
Handle billing-related requests and inquiries from shared mailboxes, coordinating with Cash Receipts and Accounts Payable and supporting audit documentation
Plan, prioritize and track multiple billing assignments, ensuring deadlines are met and status updates are communicated clearly
Build strong working relationships across the Firm, exercise sound judgment, maintain strict confidentiality and uphold Firm procedures and service standards
Bachelor’s degree in Business or a related course, with relevant billing or administrative experience an advantage
Excellent written and verbal communication skills and interpersonal skills and effective stakeholder management
Proficient in Microsoft Word, Outlook, Excel and PowerPoint
Highly organized, detail and solutions oriented, with strong follow through and the ability to manage multiple priorities and tight deadlines
Trusted in handling confidential information, able to stay calm under pressure and maintain a positive, professional approach
Proactive team player with strong self-motivation, determination and the ability to work both independently and collaboratively
Prior experience as a Remote, Executive or Administrative Assistant in a large international law firm or similar organization is a plus; legal background an advantage
Must be amenable to work on any given shift; amenable to a hybrid work set-up (3 days onsite per week - Tuesday, Wednesday, Thursday) and PH holiday support
