Job summary

KDCI Outsourcing is seeking a Senior AI Project Coordinator to support the delivery of AI outsourcing and shared services projects. You will manage timelines, coordinate cross-functional teams, and ensure deliverables meet scope, milestones, and quality standards.

You will liaise with Data Engineers, ML Engineers, AI Trainers, Operations, QA, and other stakeholders, lead meetings, track progress, and help manage risks and client expectations throughout the project lifecycle.

Qualifications

• 3–5+ years of experience in project coordination, project management, operations, or outsourcing.
• Experience coordinating multiple stakeholders and workstreams.
• Experience with international clients or stakeholders preferred.
• Strong understanding of PM principles, timelines, risks, and deliverables.
• Excellent written and verbal communication with attention to detail.
• Proficient in project tracking tools such as Excel/Sheets, Trello, Asana, Jira, or Monday.com.
• Bachelor's degree in Business, IT, Engineering, CS, or related field, or equivalent experience.

Job Summary

This role will be responsible for managing project timelines, coordinating cross-functional teams, monitoring deliverables, supporting client communication, and ensuring projects remain aligned with agreed scope, milestones, and quality standards. The role requires strong project coordination, stakeholder management, and an understanding of AI, data, or technology-driven projects.

Key Responsibilities

Project Management & Delivery

• Manage project trackers, timelines, milestones, deliverables, and status reports across AI outsourcing and shared services projects.
• Coordinate project activities from planning and implementation through delivery and handoff.
• Monitor project scope, requirements, dependencies, risks, issues, and action items.
• Ensure deliverables are completed within agreed timelines and quality standards.
• Identify potential risks, blockers, and scope changes and escape them appropriately.

Cross-Functional Team Coordination

• Coordinate with Data Engineers, Machine Learning Engineers, AI Trainers, Operations Teams, QA Teams, and other technical and business stakeholders.
• Facilitate project meetings, stand-ups, sprint planning, retrospectives, and regular project updates.
• Track team deliverables and follow up on outstanding tasks.
• Support resource coordination and workload planning across project workstreams.

Client & Stakeholder Management

• Serve as a key coordination point for internal and external stakeholders.
• Participate in client meetings and provide project updates, action items, and status reports.
• Manage stakeholder expectations and ensure clear communication throughout the project lifecycle.
• Coordinate requirements gathering, project handoffs, and client feedback.
• Escalate issues requiring management or client intervention.

Reporting & Documentation

• Prepare regular project status reports, dashboards, presentations, and management updates.
• Maintain project documentation, meeting minutes, action trackers, RAID logs, and project records.
• Ensure project requirements, acceptance criteria, and deliverables are properly documented.

Quality & Delivery Support

• Coordinate QA and UAT activities for AI and technology-related deliverables.
• Monitor deliverables against agreed acceptance criteria and project requirements.
• Support issue tracking, resolution, and validation before client sign-off.
• Coordinate post-delivery reviews and identify opportunities for process improvement.

AI Outsourcing & Shared Services

• Develop a working understanding of AI outsourcing, AI operations, data services, and shared service delivery models.
• Coordinate projects involving AI implementation, AI-assisted workflows, data annotation/training, automation, or related technology services.
• Support the transition of projects from pre-sales or solution design into delivery.
• Help establish and improve project coordination processes, templates, and reporting standards.

Leadership & Continuous Improvement

• Take ownership of assigned project workstreams and ensure timely execution.
• Provide guidance and coordination support to junior project coordinators or team members.
• Identify opportunities to improve project workflows, communication, reporting, and delivery efficiency.
• Support senior management in strategic project initiatives and operational improvements.

Job Requirements

Must Have

• 3–5+ years of experience in project coordination, project management, operations, client services, outsourcing, shared services, or a related field.
• Experience coordinating multiple stakeholders, teams, or workstreams.
• Experience working with international clients or stakeholders is preferred.
• Strong understanding of project management principles, timelines, milestones, risks, dependencies, and deliverables.
• Strong organizational and problem-solving skills with excellent attention to detail.
• Strong written and verbal communication skills.
• Ability to manage multiple priorities and projects in a fast-paced environment.
• Proficient in project tracking and collaboration tools such as Excel/Google Sheets, Trello, Asana, Jira, Monday.com, or similar platforms.
• Bachelor's degree in Business, Information Technology, Engineering, Computer Science, or a related field, or equivalent practical experience.

Nice to Have

• Experience in an AI, technology, data, automation, BPO, outsourcing, or shared services environment.
• Exposure to AI/ML projects, AI operations, data annotation, automation, or AI-assisted workflows.
• Experience with Agile/Scrum methodologies.
• Experience supporting client implementations, transitions, or service delivery.
