Job summary

Universal Hotels and Resorts, Inc. in Cebu City, Philippines, seeks a Sales Executive to manage corporate accounts, develop new business, and drive room bookings. You will coordinate with Front Office on room blocks, LOAs, and Rooming Lists, and prepare proposals and contracts for corporate clients.

The role involves attending Sales & Marketing meetings, promoting goodwill at F&B venues, and representing the hotel at industry events to boost revenue and client satisfaction.

Qualifications

  • Proficient in Microsoft Office applications.
  • Experienced with Opera Property Management System (PMS).
  • Wholesale and TA Market experience is a plus.

Responsibilities

  • Familiarize yourself thoroughly with the hotel’s room rates, amenities, facilities, and services available to guests.
  • Develop and maintain new and existing corporate accounts by planning and scheduling sales calls to solicit business for the hotel.
  • Prepare and submit proposals and quotations to corporate clients interested in booking rooms at the hotel.
  • Follow the established activity chart that summarizes upcoming sales and promotional activities for the department.
  • Comply with all established hotel policies and procedures related to room bookings. Inform clients of booking requirements (e.g., submission of Letter of Accommodation, Rooming List) to avoid future issues.
  • Accept room bookings from corporate clients and coordinate with Front Office for proper blocking of rooms. Regularly follow up on Letters of Accommodation (LOAs) and Rooming Lists with clients to confirm reservations. Ensure these documents are submitted prior to guest check-in.
  • Prepare contracts documenting the corporate room rates granted and agreed upon with clients. Ensure contracts are signed by the Assistant Director of Sales and the corporate client’s authorized representative.
  • Entertain prospective clients at the hotel’s Food & Beverage outlets to promote goodwill and solicit business.
  • Show guest rooms to prospective corporate clients upon request.
  • Request prior approval from the Credit & Collection Head of the Finance Department for client payment terms that do not comply with hotel credit policies.
  • Maintain regular contact with existing clients through personal visits, phone calls, and correspondence to ensure account productivity. Keep an updated list of corporate clients, including business addresses, telephone numbers, contact persons, email addresses, birthdays, and other relevant information.
  • Investigate client complaints regarding guest room facilities/amenities, food and beverage services, and room service. Inform the relevant departments for corrective action and elevate major issues to supervisors as needed.
  • Respond to phone inquiries from prospective clients about guestrooms and other hotel facilities.
  • Strive to achieve assigned room sales targets.
  • Prepare and submit the following reports to supervisors: Daily Activity Report, Daily Itinerary Report, Daily Expense Report, Weekly Expense Report, Weekly Production Report, Month-End Report
  • Recommend specific action plans and sales strategies to increase room bookings.
  • Attend and actively participate in monthly Sales & Marketing meetings and other required meetings.
  • Represent the hotel and participate in trade and industry-related events as assigned.
  • Distribute hotel giveaways to corporate clients to foster goodwill.
