Job summary

Shore360 is seeking a Reservations Specialist to coordinate all aspects of venue bookings via online, email, and telephone channels. You will regularly liaise with venue and sales teams to ensure a seamless customer experience and pass on relevant information about booking preferences.

You will manage reservations, respond to enquiries, check availability, and prepare/pre-order runsheets, ensuring clear communications and timely delivery of information to the venue team.

Qualifications

• 3+ years' experience in a similar role in hospitality or related industry.
• Exceptional written and verbal communication skills.
• Experience handling inbound and outbound calls and email enquiries.
• Experience handling reservations in hospitality or related industry.
• Strong customer service and organisational skills.
• Ability to multitask and prioritise to meet deadlines.

Responsibilities

• Coordinate bookings for the venue across online, email, and phone channels.
• Liaise with venue and sales teams to ensure a seamless customer experience.
• Answer enquiries, check availability, and advise on alternative dates to maximise space.
• Manage reservations and pre-orders, and forward forms to the venue team.
• Troubleshoot booking issues and send required documents or packs.
• Prepare function sheets and confirm details with customers before arrival.
• Provide feedback to venues and escalate issues to management when needed.
• Support other duties for Shore360 and venue operations as required.

Purpose of Role:

• The Reservations Specialist is responsible for coordinating all aspects of online, email and telephony bookings for the venue. You will be required to liaise regularly with the venue and sales teams to ensure a seamless customer experience, passing on all relevant information in relation to booking preferences and requests.

Main Responsibilities & Duties:

• Answer all incoming enquiries and requests in an attentive, courteous, andefficient manner
• Checking availability for the booking and offering advice on alternative datesand time, if possible, to maximise space and the smooth running of thevenues
• Answer any enquiries in relation to the services, products, and facilitiesavailable at the venue
• Management of reservations and bookings, forwarding pre-orders and runsheets through to venue team as required
• Troubleshoot any issues that might arise surrounding the bookings
• Sending out pre-orders, or relevant forms/function packs, for bookings orinformation requests
• Ensure function sheets are prepared where necessary and distributed in acompleted state in acompleted state in aappropriate time prior to the booking arrival
• Confirm booking details with the customer prior to arrival
• Ensure that communication is clear and confident
• Provide any relevant feedback to venues and communicate any problemareas to management if required
• Fulfill other duties as required by TSGG operated Oche or Shufl venues, aswell as any franchises and department personnel as requested/required
• Work to meet and exceed reservation metrics, to achieve desired businessoutcomes.
• Reservation metrics include conversion, ob calls, deal dispersion, revenueand activity.

Qualifications & Experience

• Previous experience in the hospitality industry preferred
• 3+ years' experience in a similar role
• Exception written and verbal communication skills
• Experience handling inbound and outbound calls and email enquiries
• Experience handling reservations in the hospitality or related industry
• Exceptional customer service skills
• Ability to multi-task and prioritise work accord to timeframes and deliverables
