Job summary

Staff Pilot is seeking a remote Service Coordinator to manage phones, admin inbox, and the daily schedule for 5–7 crews using ServiceM8. You will prioritize jobs, coordinate travel, and adjust plans as needs change, communicating with customers and technicians throughout the day.

The role requires bilingual English communication, confidence in scheduling decisions, and reliable internet and power. Training will be provided during handover with the current scheduler.

Qualifications

• Scheduling or dispatch experience for field service crews.
• Strong spoken English for calls with Australian customers.
• Strong written English for emails and job notes.
• Ability to make scheduling decisions independently with escalation to management when needed.
• Reliable internet with backup connection and backup power, quiet space for calls.

Responsibilities

• Answer 15–25 inbound calls daily from homeowners, businesses and managers and book services.
• Manage around 20 emails daily, including quotes, bookings and follow-ups.
• Create and update jobs in ServiceM8 and keep job cards accurate for technicians.
• Build and manage the schedule for five to seven crews based on skills, duration, location and travel time.
• Handle emergency bookings, cancellations, delays and reschedules as they occur.
• Keep customers and technicians informed and confirm appointments; follow up on inquiries until closed.
• Flag issues to management and help the business run smoothly.
