Job summary

Philippine Business for Social Progress is seeking a competent program support staff to provide clerical and administrative services for the Regional NTP, including logistics and secretariat duties for events and meetings.

The role covers document preparation, filing, report updates, and coordination with partners and the GF point-person. It requires basic degree and at least one year of experience in related work.

Responsibilities

  • Provides administrative, logistical and secretariat support for special events, trainings, regional field activities, and other meetings/conferences.
  • Maintains an orderly filing system for all types of communication and other official documents.
  • Assists the NTP Medical/Nurse coordinator and partners in packaging or reproducing necessary documents, contracts of consultants, and other deliverables under the program.
  • Prepares initial documentation of team meetings.
  • Monitors daily incoming or outgoing calls, visitors, receipts and sent documents.
  • Prepares updated periodic reports on inquiries and project development activities.
  • Requests and monitors office supplies in coordination with the GF point-person.
  • Facilitates transmittal of incoming and outgoing correspondences, documents, tokens, etc.
  • Checks communications before routing for quality control.
  • Prepares, ensures accuracy and completeness of documents, and follows up payments or cheques for revolving fund replenishments, cash advances, and liquidations.
  • Informs the NTP medical/burse coordinator of scheduled meetings, workshops, etc.
  • Performs other tasks as assigned by supervisor/management.

Provides adequate and efficient clerical and administrative services to the Regional NTP and performs logistical and secretariat functions for special events and other meetings or conferences organized under the regional NTP.

DUTIES AND RESPONSIBLITIES
  • Provides administrative, logistical and secretariat support in the conduct of special events, trainings, regional field activities, and other meetings/conferences organized under the NTP (i.e. sending out invitation letter and follow-ups, identification of venue etc.)
  • Maintains and orderly filing system for all types of communication and other official documents
  • Provides assistance to the NTP Medical/Nurse coordinator and other partners in packaging or reproducing necessary documents or report, contracts of consultants, and other deliveries under the program
  • Prepares initial documentation of team meetings

MINIMUM QUALIFICATION

Education : Bachelors degree in any relevant program/course

Experience : At least 1 year related work experience

Other / Special Skills : Good coordinating skills. Good verbal and written communication skills, Computer literate
