Responsibilities

About the role

The QA System Specialist supports the Quality Assurance Department in maintaining a robust Quality Management System and ensuring compliance with customer, regulatory, and international food safety standards. Reporting to the Head of the Quality Assurance Department, the role holder acts as the primary liaison between Sales and internal departments for customer inquiries, documentation, sample requests, and compliance matters.

Key responsibilities

• Serve as the primary contact for customer inquiries and requests from Sales, coordinating with relevant departments to address requirements and concerns
• Manage customer document requests, including preparation, review, and coordination of questionnaires and compliance forms with QA, Production, and other departments
• Coordinate customer sample requests - from approval, labeling, and documentation to dispatch and shipment
• Maintain and continuously improve the Quality Management System (QMS) in compliance with BRCGS, HACCP, GMP, and ISO standards, including document control and record keeping
• Assist in internal and external audits - preparing schedules, documentation, and tracking corrective and preventive actions (CAPA) from audits, complaints, and non-conformances
• Prepare and maintain product compliance documents and assist in interpreting international food regulations (FDA, EU, FSMA) for customer and regulatory requirements
• Coordinate with QA, Production, R&D, Warehouse, and Logistics to gather information and ensure alignment on customer requirements and quality standards
• Prepare regular reports on customer requests, compliance status, audit findings, and QMS performance using SAP and Microsoft Excel
• Participate in process improvement initiatives and stay updated on industry trends, regulatory changes, and food safety best practices

About you

• BS in Science-related fields such as Food Science, Food Technology, Biology, Chemistry, Microbiology, or other relevant science-related course
• At least 2-3 years of relevant experience in customer service, sales support, technical support, or quality assurance in a food manufacturing environment
• Proficient in SAP and Microsoft Excel
• Good written and verbal communication skills
• Strong attention to detail and documentation accuracy
• Knowledge of food safety and quality assurance
• Knowledge of QMS (BRCGS, HACCP, GMP, ISO)
• Experience in audit preparation and documentation
