Job summary

KMC Solutions in the Philippines is seeking a Client Support Officer for Property Services & Access to coordinate property services, contractors and owner access requirements for an Australian property/Owners Corporation services team.

You will manage requests from initial quote through completion, ensure contractors and owners receive the required information, follow-ups are completed on time, job statuses are kept up to date, and all parties are kept informed with clear written updates.

Qualifications

• 2+ years of experience in administration, client support, property administration, contractor coordination or a similar role.
• Excellent written and verbal English communication skills.
• Strong follow-up and coordination skills with multiple jobs or requests.
• Highly organized and able to manage multiple jobs or requests simultaneously.
• Strong attention to detail and accuracy.
• Comfortable working with deadlines, recurring follow-ups and task tracking.
• Experience using digital platforms, spreadsheets, CRM or task-management systems.
• Able to communicate professionally with contractors, clients, owners and internal teams.
• Comfortable working independently and taking ownership of assigned tasks.
• Good judgement and ability to elevate issues involving cost, scope, delays or other matters outside their authority.
• Reliable setup suitable for working with an Australian-based team and business hours.

Responsibilities

• Send quote requests to approved contractors based on defined scopes of work.
• Prepare and issue work orders to approved contractors.
• Follow up with contractors according to an established follow-up schedule.
• Track jobs from request through completion.
• Maintain accurate and up-to-date job status in the relevant system.
• Follow up on outstanding quotes, work orders, contractor responses and job completion.
• Provide written updates to owners, committees or managers as required.
• Identify and elevate significant cost, scope or delay issues to the appropriate team member.
• Ensure completed jobs are properly recorded and closed.
• Prepare and send access order forms to owners and relevant parties.
• Provide owners with the required access documentation and instructions.
• Respond to routine access-related enquiries by email.
• Track access requests through to fulfilment.
• Confirm completed access arrangements with the relevant owner or stakeholder.
• Maintain accurate access records against the relevant lot / property.
• Maintain clear and accurate records of outstanding and completed tasks.
• Coordinate with internal team members to ensure requests are progressed efficiently.
• Provide administrative support for correspondence, agendas and minutes during peak periods.
• Provide cover and support for other Client Support Officers during leave and high-volume periods.
• Follow established processes and elevate matters that require additional approval or decision-making.
