Job description

PROJECT MANAGEMENT SPECIALIST

Provide disciplined project leadership and decision-ready business insight that turn strategic priorities into well-governed, measurable, and sustainable outcomes. The role connects stakeholders, plans, data, risks, and change activities, so initiatives are delivered with clarity, accountability, and visible business value.

The Project Management Specialist plans, coordinates, monitors, and reports on cross-functional projects and transformation initiatives. The role combines structured project management with advanced analytical and presentation capabilities to help leaders understand progress, resolve issues, make timely decisions, and sustain change. As an individual contributor, the specialist works independently within established policies, provides guidance on non-routine matters, and may coach or review the work of less-experienced professionals.

Key Responsibilities
Project Planning and Delivery
  • Build clear project charters, scope statements, work plans, milestones, dependencies, resource requirements, and acceptance criteria aligned with business priorities.
  • Coordinate end-to-end execution across functions, track commitments, and keep deliverables on schedule and within agreed scope.
  • Apply fit-for-purpose project methods, including predictive, agile, or hybrid approaches, based on the initiative’s complexity and operating environment.
  • Maintain accurate project documentation, decision logs, action registers, and lessons learned to support accountability and repeatability.
Governance, Risk, and Control
  • Establish practical governance routines, roles, decision rights, review cadence, escalation paths, and reporting standards for assigned projects.
  • Identify, assess, and manage project risks, issues, assumptions, dependencies, and change requests; coordinate timely mitigation and escalation.
  • Monitor quality, compliance, financial, schedule, resource, and business-continuity considerations throughout the project lifecycle.
  • Prepare project reviews and steering updates that clearly show status, decisions required, accountable owners, and target dates.
Stakeholder Engagement and Communication
  • Map stakeholders, understand expectations, and maintain an engagement plan appropriate to influence, impact, and decision-making needs.
  • Facilitate workshops, alignment sessions, and project meetings that convert discussion into decisions, ownership, and follow-through.
  • Communicate complex project information clearly through concise executive presentations, dashboards, and written updates.
  • Build constructive partnerships across business, operations, digital, quality, finance, and other relevant teams.
Business Analytics and Performance Reporting
  • Develop and maintain project dashboards, portfolio views, and management reports using Power BI, Tableau, Excel, and approved data sources.
  • Analyze schedule, cost, quality, risk, capacity, adoption, benefit, and delivery trends to identify gaps and improvement opportunities.
  • Validate information before publication and explain what changed, why it matters, and what action is recommended.
  • Translate detailed analysis into decision-ready narratives and visually compelling PowerPoint materials for leaders and stakeholders.
Change Management and Adoption
  • Assess stakeholder and operational impacts, readiness, resistance, training requirements, and communication needs for project changes.
  • Coordinate change and adoption actions so new processes, tools, and ways of working are understood and embedded.
  • Monitor adoption, feedback, and post-implementation performance; recommend corrective actions where expected outcomes are not achieved.
  • Support handover to business owners with documented processes, controls, sustainment measures, and clear accountability.
Planning, Prioritization, and Continuous Improvement
  • Prioritize work based on strategic value, customer impact, risk, urgency, effort, dependencies, and available capacity.
  • Use structured problem solving and analytical thinking to clarify root causes, evaluate alternatives, and recommend practical solutions.
  • Identify opportunities to standardize, simplify, digitize, or automate project and reporting practices.
  • Share lessons learned and reusable practices that strengthen project execution across teams and initiatives.
Key Stakeholders
