Job summary

MicroSourcing in Pasay City is seeking a Print Service Works Coordinator - Administration to join our onsite day shift team. You will manage the inbound service email inbox, log service jobs in ICE ERP, schedule technicians, and ensure timely, accurate records and billing support.

Ideal candidates have 1–2 years in admin or scheduling, strong English, and proficiency with Outlook and Excel; experience with ERP/CRM systems is a plus.

Qualifications

• 1–2 years of experience in administration, scheduling, coordination or customer service.
• Strong written and spoken English for customer emails and calls.
• MS Office skills, especially Outlook and Excel.
• Attention to detail and accuracy in data entry and records.
• Ability to learn ERP/CRM or job management systems.

Responsibilities

• Manage the inbound service email inbox, triage customer enquiries, and respond promptly and professionally.
• Create, update, and log service jobs in the ICE ERP/job management system.
• Schedule technicians for customer jobs and maintain appointments through Outlook Calendar.
• Monitor and validate completed service jobs and close them in the system.
• Prepare and send customer quotes via email.
• Process toner orders and support invoicing and related admin tasks.
• Handle inbound and outbound customer calls as required.
• Maintain accurate records and ensure service requests and customer information are documented.
• Coordinate with internal teams and onshore stakeholders to meet timelines.
• Identify and elevate issues affecting scheduling, billing, or customer service.

Your Role

As a Print Service Works Coordinator - Administration, you will:

• Manage the inbound service email inbox, triage customer enquiries, and respond promptly and professionally.
• Create, update, and accurately log service jobs in the ICE ERP/job management system.
• Schedule technicians for customer jobs and maintain accurate appointments through Outlook Calendar.
• Monitor and validate completed service jobs and ensure they are properly closed in the system.
• Prepare and send customer quotes via email.
• Process toner orders and provide support for invoicing and related administrative tasks.
• Handle both inbound and outbound customer phone calls as required.
• Maintain accurate records and ensure service requests, job details, and customer information are properly documented.
• Coordinate with internal teams and onshore stakeholders to ensure service requests are handled within agreed timelines.
• Identify and elevate issues or discrepancies that may affect scheduling, billing, or customer service.

What You Need

Non-negotiables

• At least 1-2 years of experience in administration, scheduling, coordination, customer service, or a similar role.
• Strong written and spoken English communication skills, with confidence handling customer emails and phone calls.
• Intermediate to advanced Microsoft Office skills, particularly Outlook and Excel.
• Strong attention to detail and accuracy in data entry, job creation, and record maintenance.
• Ability to learn and effectively use ERP, CRM, or job management systems.

Preferred Skills/expertise

• Experience working with an ERP or service/job management system.
• Experience in a service-based business, such as IT, print, trades, medical, or a similar environment.
• Experience coordinating technicians, field service teams, appointments, or service jobs.
• Strong organisational and time-management skills with the ability to manage competing priorities independently.
• Calm and reliable under pressure, with a methodical and ownership-driven approach to work.
• Customer focused with strong problem-solving and follow-through skills.

Success In This Role May Be Measured Through

• Accuracy and timeliness of service job creation following customer enquiries.
• Service inbox response times and customer satisfaction.
• Accuracy of technician scheduling and calendar management.
• Accuracy of job records, invoicing support, and data entry.
• Feedback from the onshore coordinator, customers, and management.
