Ideal Ignite is seeking a highly organized Personal Assistant – Social Media Operations to provide day-to-day administrative, coordination, and content support for an individual’s social media activities and creative team. The role blends calendar management, asset organization, and hands-on content assistance.
You will maintain the social media content calendar, coordinate shoots and events, and help with trend research, briefs, and documentation.
WHO WE ARE LOOKING FOR:
We are looking for a highly organized, proactive, and dependable Personal Assistant – Social Media Operations to provide day-to-day administrative, coordination, and content support for an individual’s social media activities and creative team.
This is primarily a Personal Assistant role with a strong focus on social media organization and execution. You will help keep schedules, content, tasks, files, deadlines, and team communication organized so that day-to-day social media operations run smoothly. You will support both the coordination and hands-on execution of social media content. While you will not be expected to personally create every piece of content, you should be comfortable assisting with content production when needed, such as attending events, capturing visual and video content, assisting with trend-based or casual social media content, researching current trends and content ideas, and providing support during shoots.
At the same time, you will help make sure that the right people know what needs to be done, deadlines are followed, information and assets are organized, and important tasks do not fall through the cracks.
The ideal candidate is someone who naturally keeps track of details, follows up without being reminded, and thinks ahead.
WHAT YOU WILL DO:
Provide day-to-day administrative and scheduling support related to social media, content production, meetings, shoots, campaigns, events, and other activities.
Keep track of ongoing content, tasks, deadlines, approvals, revisions, and deliverables.
Follow up with content creators, graphic designers, video editors, photographers, and other team members when needed.
Help organize and maintain the social media content calendar.
Coordinate schedules for shoots, meetings, events, campaigns, and other content-related activities.
Attend events, shoots, and other content-related activities when needed.
Assist in capturing visual and short-form video content for social media using a smartphone or other available equipment.
Help shoot trend-based, casual, behind-the-scenes, and other social media content when needed.
Research current social media trends, formats, sounds, topics, references, and content opportunities.
Assist with content ideation and gather references or inspiration for upcoming posts and campaigns.
Maintain an organized Notion workspace for tasks, content plans, references, timelines, notes, and documentation.
Make sure important information, files, links, references, and instructions are properly documented and easy for the team to find.
Prepare briefs, presentations, reports, meeting notes, checklists, and other documents as needed.
Help organize creative assets, project files, event materials, and content references.
Keep track of pending approvals, revisions, follow-ups, and next steps.
Assist with basic research for content, brands, campaigns, events, and other social media needs.
Use AI tools to assist with research, organization, documentation, ideation, summaries, content planning, and day-to-day productivity.
Learn and adopt new AI tools and workflows that can make the team more efficient.
Identify small problems, missing information, or potential delays before they become bigger issues.
Handle confidential and sensitive information professionally.
WHAT WE NEED FROM YOU:
1–3 years of experience in a Personal Assistant, Executive Assistant, Administrative Assistant, Marketing Assistant, Social Media Assistant, or similar role.
Highly organized and comfortable keeping track of multiple tasks at the same time.
Strong follow-up skills and attention to detail.
Comfortable coordinating with different members of a creative or social media team.
Proficient in Notion, or willing and able to become highly proficient in it.
Comfortable using Google Workspace and/or Microsoft Office.
Basic understanding of AI tools such as ChatGPT, Gemini, Claude, or similar platforms, or a strong willingness to learn how to use them effectively.
Comfortable learning new apps, software, AI tools, and digital workflows.
Comfortable capturing clear and engaging visual content using a smartphone.
Familiar with major social media platforms and current online content trends.
Strong written and verbal communication skills.
Resourceful, proactive, dependable, and able to work with minimal supervision.
Comfortable attending events, shoots, and other content-related activities when required.
Basic familiarity with Canva, CapCut, or other creative tools is a plus but not required.
IDEAL CANDIDATE
You are the type of person who likes keeping things organized and making sure nothing gets forgotten.
If someone says, “We need this edited by Friday,” you make sure the editor has the files, the deadline is noted, the status is tracked, and the necessary follow-up happens before Friday arrives.
If you are at an event and are asked to capture visual content, create short-form videos, assist with trend-based content, or gather materials for social media, you are comfortable stepping in and helping.
You are comfortable switching between different kinds of responsibilities throughout the day: checking schedules, updating Notion, following up with the team, organizing files, researching trends, preparing a brief, helping coordinate a shoot, or assisting with content creation.
You do not need to be an expert in social media strategy, professional photography, video production, or artificial intelligence. However, you should be comfortable working around these areas, have good digital instincts, and be willing to continuously learn.
Most importantly, we are looking for someone who does not simply wait for instructions. You pay attention, anticipate what may be needed next, ask the right questions, take initiative, and help keep things moving.
