Job summary

Our Clients is seeking an experienced Patient Appointment Scheduling Supervisor to lead daily scheduling operations in Ortigas, Pasig City (onsite). The role focuses on coaching, performance management, and ensuring accurate appointment coordination.

You will work closely with healthcare providers and clinical teams to optimize access, monitor service levels, manage staffing, and implement process improvements while upholding privacy standards.

Qualifications

• 3–5 years of experience in patient scheduling, patient access, healthcare operations, or related field.
• At least 1 year of supervisory experience.

Responsibilities

• Oversee daily operations of the patient appointment scheduling team, ensuring efficient calls, requests, referrals, and queues.
• Monitor team performance including call volume, service levels, productivity, and turnaround times.
• Provide coaching, training, mentoring, and performance feedback to scheduling representatives.
• Ensure accurate scheduling based on provider availability, medical requirements, and protocols.
• Handle escalations regarding appointment availability, cancellations, rescheduling, and errors.
• Coordinate urgent, same-day, and special appointment requests with providers and clinical teams.
• Collaborate with internal departments to address referral, insurance, and authorization requirements.
• Conduct quality audits and implement process improvements.
• Manage staffing, workload distribution, and schedule coverage.
• Develop and maintain scheduling procedures and workflow guidelines.
