JOB SUMMARY
The role exists to take routine transactional, and reconciliation work off our Financial Controller. This frees the Financial Controller to focus on management reporting, compliance and the Acumatica rollout. We expect the role to grow as the new system beds in, and the company successfully continues to grow the business.
WHAT YOU’LL DO
Accounts payable
- Receive, check and code supplier invoices to the correct entity, GL account, job/cost centre and GST code (Australian GST)
- Match invoices to purchase orders and receipts where applicable; follow up discrepancies with suppliers and internal staff
- Maintain supplier master data, including verifying bank detail changes through an independent call-back
- Prepare weekly payment runs for approval; do not release payments
- Reconcile supplier statements monthly and resolve aged or disputed items
- Answer supplier queries by email
- Manage Accounts Payable inbox
Credit card reconciliations and family drawings
- Collect receipts from cardholders and chase missing ones
- Code and post all company credit card transactions monthly to the correct entity and account
- Identify personal and family expenditure on company cards and post it to the relevant shareholder/beneficiary loan or drawings account, not to business expense
- Flag unclear transactions for review rather than guess their treatment; keep a log of queries and outcomes
- Reconcile each card account to the statement every month
Month-end GL reconciliations
- Reconcile bank accounts (ideally weekly, at minimum monthly)
- Prepare balance sheet reconciliations to an agreed schedule — for example clearing accounts, GST, payroll liabilities, accruals, prepayments, intercompany and related-party loan accounts
- Prepare standard month-end journals (accruals, prepayments) for review
- Reconcile intercompany balances across the group entities and flag mismatches
- Complete month-end tasks to a close calendar and deliver a reconciliation pack for review
Systems transition and general
- Support the COMPANY move from MYOB to Acumatica on 1 November 2026, including data checks and parallel testing where required
- Follow and help document AP, AR and reconciliation procedures in Acumatica
- Maintain clear, organised digital filing of supporting documents
- Take on other reasonable finance administration tasks as directed
Systems
- MYOB AR
- ACUMATICA
- MICROSOFT 365 (EXCEL, OUTLOOK, TEAMS)
- INTERNET BANKING AND CARD PORTALS
The candidate will work in MYOB Acumatica. Prior MYOB experience is not required, as training will be provided. Experience with at least one ERP is important, and direct Acumatica experience is a strong advantage.
REQUIREMENTS
Essential
- Bachelor's degree in Accountancy, Accounting Technology or a related field
- At least 3 years in AP, AR and GL reconciliation roles, including at least 2 years supporting Australian clients
- Working knowledge of Australian GST and BAS coding
- Hands-on experience with at least one accounting system or ERP (for example Xero, MYOB, NetSuite or Acumatica)
- Proven month-end balance sheet reconciliation experience, not only AP/AR processing
- Strong Excel skills (lookups, pivot tables, reconciliation templates)
- Clear written and spoken English for dealing directly with Australian suppliers, customers and staff
- Strong attention to detail, sound judgement, and confidence to raise questions
Preferred
- Acumatica experience, or experience with another ERP such as NetSuite, Xero or SAP Business One
- Experience with multi-entity or family-owned groups, including intercompany and related-party loan accounts
- Experience handling private or personal spending on company cards
- Exposure to manufacturing, agriculture or property businesses

- Organised and reliable with deadlines on a part-time schedule
- Proactive in proposing process improvements
