Job summary

MicroSourcing is seeking an Order Entry Specialist in Eastwood, Quezon City for a hybrid night shift. You will enter accurate data, manage customer inquiries via email, and support orders and VOCs, ensuring timely and accurate processing.

Effective communication with internal teams via Teams and use of cloud ERP (NetSuite) and Microsoft Outlook are essential. You will help ensure order accuracy, monitor shipments, and uphold company return policies while contributing to a collaborative work

• Enters accurate data into computer, including general contact information, sales order or case records.
• Communicates with customers by e-mail and determines the nature of the request. Creates an order, case record, or VOC and follows through until fully resolved.
• Communicate effectively with internal team members and managers via Teams.
• Maintain consistent internet connectivity to use cloud-based ERP system (NetSuite) and Microsoft programs (Outlook, Teams).
• Investigate issues such as short shipments, mis-shipments and lost shipments and initiate credits, returns, or replacements where applicable.
• Accesses data to quote product availability from inventory levels.
• Provide lead times for back-ordered products within department standards.
• Interface via email with management to communicate service needs and customer requests.
• Interface via email with Accounting and Operations to ensure customer satisfaction.
• Refer sales leads to Regional Sales Manager and work with them to address customer matters.
• Adhere to Return Policy and established procedures; implement department policies and standards.
• Perform other duties as required.

Your Role

As Order Entry Specialist, you will:

• Enters accurate data into computer, including general contact information, sales order or case records.
• Communicates with customers by e-mail and determines the nature of the request. The CSR1 creates an order, case record, or VOC of the customer issue. It is then the responsibility of the CSR1 to follow through the customer's issue until it is fully resolved. This includes both orders and inquiries.
• Communicate effectively with internal team members and managers via Teams.
• Maintain consistent internet connectivity in order use cloud-based ERP system (NetSuite) and Microsoft programs (including but not limited to Outlook and Teams)
• Investigate instances such as short shipments, mis-shipments and lost shipments and initiates credit memos, debit memos, returns, or replacements where applicable based on information from the system.
• Accesses computerized data to quote availability of product from inventory levels.
• Accesses computerized data to provide lead times for back-ordered products within department standards.
• Interfaces via email with management to communicate special service needs and customer requests.
• Interfaces via email with Accounting and Operations to ensure general customer satisfaction.
• Refers all sales leads to the appropriate Regional Sales Manager.
• Works closely with Regional Sales Managers to assure prompt attention to all customer matters within each region.
• Ensures customer is aware of, and follows, the Return Policy and all other relevant procedures.
• Understand, support, and execute all work in the established procedures, methods and working requirements.
• Implements and maintains department policies and standards.
• Perform any other related duties as required or assigned.
