Job summary

Inchcape Shipping Services in Subic Bay, Philippines, is seeking an Operations Executive to plan and execute port calls, coordinate with ship masters, principals and port authorities, and ensure service delivery at the port.

The role requires 5 years in port agency operations, experience with Navy vessels and commercial calls, and strong English communication. On-site duties and adherence to local regulations are essential. Competitive benefits and career progression are offered.

Qualifications

  • Experience handling Navy vessels, Tankers, Bulk Carriers, and other port calls.
  • Merchant Navy maritime operations experience is advantageous.

Responsibilities

  • Port Call Planning / Execution: understand port call requirements and execute turnaround cost-effectively.
  • Effective Communication: concise and timely updates to stakeholders.
  • Statutory Declarations: coordinate with ICA, MPA, Customs, NEA, security agencies.
  • On-Site Coordination: attend ships/sites and coordinate services.
  • Provide local expert advice on port regulations and ISS procedures.

Main Purpose of the Job:

Communicate, plan, and execute port call planning. Provide professional services that meet/exceed Principal/ship masters’ expectations. Establish and maintain relationships with ship owners, charterers, naval operators, and maritime stakeholders. Support commercial initiatives aimed at expanding Port Agency and Logistics services.

What you’ll do: (Key Accountabilities & Key Deliverables)
Port Call Planning / Execution
  • Understand port call requirements and expectations of Principal/Ship master
  • Execute port call turnaround most cost-effectively and expeditiously.
  • Closely monitor and update stakeholders on port call progress
  • Ensure Principals’ best interests are always protected.
Effective Communication
  • Concise and timely communication with authorised recipients and stakeholders.
  • This includes, but is not limited to, routine pre-arrival and progress port call updates and post-call follow-ups.
Statutory Declarations of a Port Call
  • Immigration and Checkpoint Authorities (ICA)
  • Maritime and Port Authority of Singapore (MPA)
  • Customs and Excise Department
  • National Environment Agency (NEA)
  • Security/Enforcement Agencies
  • Operators / Management of facility involved
On-Site Coordination

Physical attendance onboard ships or sites when necessary, providing on-site coordination of services and deliveries.

Provide local expert advice

Keeping abreast of the latest developments in port regulations, industry and ISS Policies and Procedures.

HSSE/Legal Compliance

Ensure all services provided comply with local regulations/guidelines set out by relevant government agencies and ISS Policies/Procedures.

Training

Timely completion of trainings assigned.

Utilisation of ISS Systems

Ensure full utilisation of all ISS systems (ONEDA and Optics) according to Standard Operating Procedure.

Who you are: (Required-Knowledge, Experience, Education & Skills)
Experience
  • 5 years of experience in Port Agency operations.
  • Experience handling Navy vessels, Tankers, Bulk Carriers, and other commercial vessel port calls.
  • Experience in vessel husbandry, port clearance, stakeholder coordination, and logistics operations.
  • Prior experience in Merchant Navy maritime operations will be advantageous
