Job summary

IQ-EQ in Manila is seeking an entry-level Corporate Secretarial Services professional to support the delivery of basic corporate secretarial and administrative functions under supervision. You will execute standardized processes, maintain records, and ensure compliance with procedures and regulatory requirements.

This role offers an opportunity to build foundational knowledge of corporate secretarial practices while handling routine tasks, documentation, and contributing to efficient service

Qualifications

  • Bachelor’s degree in Business Administration, Legal Management, Juris Doctor, or related field; professional certifications advantageous.
  • At least 2 years of corporate secretarial/administrative experience.
  • Knowledge of corporate secretarial practices, funds and SPVs; CAS systems experience a plus.

Responsibilities

  • Maintain statutory books, records, and client databases in accordance with governance requirements.
  • Prepare and support routine documentation, including meeting minutes, board papers, and regulatory filings.
  • Conduct basic file reviews to ensure documentation is accurate and compliant.
  • Monitor statutory deadlines and respond to routine queries; support daily operations.
  • Ensure accurate record-keeping and contribute to process efficiency while expanding knowledge.

Job Description

THIS ROLE:

This entry-level role in Corporate Secretarial Services is responsible for supporting the delivery of basic corporate secretarial and administrative functions under supervision. You will focus on executing standardized processes, maintaining accurate records, and ensuring compliance with established procedures and regulatory requirements. This role provides an opportunity to develop foundational knowledge of corporate secretarial practices while handling routine tasks, supporting documentation, and contributing to efficient service delivery.

What You Will Do
  • You’ll perform corporate secretarial tasks, maintaining statutory books, records, and client databases in accordance with established procedures and governance requirements.
  • You’ll prepare and support routine documentation, including meeting minutes, board papers, and regulatory filings, using standard templates and prescribed guidelines.
  • You’ll conduct basic file reviews to ensure documentation is accurate, complete, and compliant with internal checklists, quality standards, and regulatory requirements.
  • You’ll monitor statutory deadlines, respond to routine client and administrative queries, and support day-to-day operational activities.
  • You’ll ensure accurate record-keeping, maintain compliance standards, contribute to process efficiency, and continuously build your knowledge of corporate secretarial practices and requirements.

Qualifications
ABOUT YOU:
  • You hold a bachelor’s degree in Business Administration, Legal Management, Juris Doctor, or a related field, with additional certifications such as Chartered Secretary, LL.B, or paralegal qualifications considered an advantage.
  • You have at least 2 years of experience in corporate secretarial, administrative, or similar roles, with exposure to client service operations and managing multiple deliverables.
  • You possess working knowledge of corporate secretarial practices, including funds and special purpose vehicles (SPVs), and experience with CAS systems or corporate secretarial software is a plus.
  • You are proficient in drafting minutes, board papers, and regulatory filings, as well as maintaining statutory books, records, and client databases with a strong focus on accuracy and compliance.
  • You have excellent communication, organizational, and time management skills, with the ability to manage multiple priorities, meet deadlines, and consistently deliver high-quality results.
