MicroSourcing invites you to join as a Sales Encoder at SM Downtown, Cagayan De Oro City. This onsite night-shift role supports US business hours and involves processing sales orders, CRM data entry, invoicing requests, and shipment tracking.

Qualifications

• High-volume data entry or administrative accuracy required.
• Proficiency with CRM platforms; Salesforce/HubSpot is a plus.
• Strong written English for order confirmations and internal comms.

Responsibilities

• Monitor a dedicated email inbox for incoming sales orders.
• Enter customer details, items, quantities, pricing, and terms into CRM.
• Submit invoice requests to Accounting per workflows.
• Record and update shipment details in tracking spreadsheets.
• Confirm order receipt with submitting salesperson.
• For customer orders, send brief acknowledgment with ship date.
• Escalate inquiries to Customer Service Team Lead.
• Flag incomplete or unclear orders for clarification.
• Maintain records across CRM, invoicing, and shipment tracking files.
• Monitor order backlogs and elevate risks to supervisor.
• Participate in shift rotation and provide coverage as scheduled.

Your Role

As a Sales Encoder, you will:

• Monitor a dedicated email inbox for incoming sales orders submitted by company sales representatives.
• Accurately enter customer details, items, quantities, pricing, and terms into the company's CRM system.
• Submit invoice requests to the Accounting team for each processed order according to established workflows.
• Record and update shipment details in designated tracking spreadsheets as information becomes available.
• Confirm order receipt and entry with the submitting sales representative.
• For orders received directly from customers, send a brief acknowledgment confirming receipt and the expected ship date, whether same-day or next-day, depending on the order's arrival time.
• Escalate any additional customer inquiries, concerns, or replies to the Customer Service Team Lead without engaging in further customer correspondence.
• Flag incomplete, unclear, or inconsistent orders to the appropriate sales representative or manager for clarification before processing.
• Maintain accurate and consistent records across the CRM, invoicing requests, and shipment tracking files.
• Monitor order backlogs, identify discrepancies or system issues, and promptly escalate risks to the supervisor.
• Participate in the team's shift rotation and provide coverage in line with scheduled hours.
  
  

What You Need

Non-negotiables

• Demonstrated accuracy and strong attention to detail in high-volume data entry or administrative work.
• Proficiency with CRM platforms; experience with Salesforce, HubSpot, or similar systems is an advantage.
• Strong written English skills for professional order confirmations and internal communication.
• Moderate spreadsheet proficiency, including formulas, sorting, filtering, and managing multi-tab workbooks in Excel or Google Sheets.
• Ability to work independently during a fixed overnight schedule aligned with US business hours.
• Reliable high-speed internet and a quiet, suitable home-office setup, or willingness to work from a serviced office space.
• Strong organizational skills and the ability to follow established processes while managing competing priorities.
  
  

Preferred Skills/expertise

• Previous experience in sales order processing, order management, sales operations, or back-office administrative support.
• Experience working remotely for a US-based or other international employer.
• Familiarity with CRM systems, invoicing workflows, and shipment tracking processes.
• Ability to identify order discrepancies and escalate issues promptly.
• Comfortable working independently while coordinating with sales, accounting, customer service, and management teams.
